PDA Count

1. Scenario

Count verifies the difference between book inventory and physical inventory. On the PDA, you can start a count from an inventory query, or query an existing count sheet to continue and finalize. For inventory queries, see PDA Inventory Query.

After finalization, the PDA records the count result. Variances and follow-up handling can be reviewed on desktop Inventory Management.

Prerequisites

1. Sign in to the warehouse being counted; the warehouse must match the stock to count.
2. Location and SKU/GSKU barcodes are readable.
3. Review all variances and remarks before finalizing.

2. Steps

2.1 Scan a location or SKU to start a new count

1. On the GWMS PDA-Count home page, scan a location or an SKU/GSKU directly.
2. The PDA first opens the PDA Inventory Query result page.
3. Tap the 【Start Count】 button at the top right.
4. In the 【Start Inventory Count】 confirm dialog "Confirm to start a new inventory count.", tap 【Confirm】.
5. The system builds the count details from the current query results, so only the items you just queried are included in this count.
6. On success, the count-detail page opens.

2.2 Enter actual quantities

1. On the count-detail page, check each row's SKU, location, and expected quantity.
2. Single-tap a row or scan an SKU/GSKU to open the input dialog. The dialog title is the GSKU; below it shows REF, location, and expected quantity.
3. Enter actual quantity and remarks, then tap 【Submit】. Already-counted lines are prefilled with the last submitted value; uncounted lines are prefilled with the expected quantity as a suggestion. Both can be edited.
4. Double-tap a row to submit with expected quantity and no remarks.
5. After submission, the row status becomes Checked and shows a success icon; if actual differs from expected, a variance icon is shown.
6. Scan or tap a completed row again to resubmit; the latest submission prevails.

Legend: The Count Order detail page shows the order number, the 【Complete】 button, and the Expected / Actual / Variance columns. Tap a line to continue entering actual quantities.

2.3 Open and continue an existing count sheet

1. Open GWMS PDA-Count, enter the count-sheet number at the top, and tap 【Query】.
2. A single result opens the count sheet directly; multiple results appear as a list to tap.
3. With no number entered, the list paginates all count sheets. Pull down to refresh and scroll up to load more; reaching the bottom shows "No more".
4. Tap a sheet to open different pages by status:
   • Unchecked, Checking: open the count-detail page to enter actual quantities.
   • Checked: view the count result; no further edits are allowed.
   • Cancelled: a dialog shows "Inventory count order has been cancelled" and cannot be opened.

2.4 Finalize the count sheet

1. When all detail rows become Checked, the system automatically shows a 【Completed】 confirm dialog "All SKUs have been checked. Confirm to close?" the moment the last submission succeeds.
2. Tap 【Confirm】 to change the sheet status to Checked and return to the count list.
3. You can also tap 【Complete】 on the detail page to finalize; that button does not check whether uncounted rows remain.
4. After finalization, you return to the count list and the sheet status updates to Checked. You can review the result on the PDA list or continue checking it on desktop.

Result: the count sheet becomes Checked, the result is recorded, and its details can no longer be edited.

3. Notes

3.1 Status flow

Count sheets flow as follows. After finalization, details cannot be edited on the PDA:

Unchecked (0) → Checking (2) → Checked (1)

There is also an Exception status (-2) and a Cancelled status (-1):

• Unchecked: created but no actual quantities entered yet.
• Checking: at least one actual quantity entered; can still be revised.
• Checked: finalized, details locked. You can review the result, but cannot edit it.
• Cancelled: a dialog shows "Inventory count order has been cancelled" and cannot enter counting.
• Exception: the sheet is in an exception state; investigate on desktop.

3.2 Detail row fields and status

Each count-detail row shows: location, GSKU, REF, expected quantity, actual quantity, variance, remarks, and a status icon. Detail status has three values:

• Unchecked: no actual quantity submitted.
• Checked: actual quantity submitted.
• Failed: submission failed; resubmit.

Status icons:

• Success icon: the row is Checked and actual equals expected.
• Variance icon: the row is Checked and actual differs from expected.

3.3 Inventory impact

• Count status on the PDA records the count result only; it does not directly change book inventory.
• Whether the sheet is Unchecked, Checking, or Checked, book inventory does not change just because the count status changes.
• The result affects book inventory only after Sync Inventory is performed on desktop.
• The count sheet itself is visible on desktop Inventory Management - Stock Count. Review any follow-up inventory changes on the relevant desktop pages.

3.4 Submission rules

• Double-tapping a row submits actual equal to expected with no remarks.
• Multiple submissions for the same line keep the latest; revision is allowed before finalization.
• Finalization is irreversible. Review variances, remarks, and uncounted lines before confirming.
• When you start from an inventory query, the count includes only the items in the current query results, not unrelated items from the whole warehouse.

4. FAQ

Q1: Why must I select a product after scanning?

A1: One barcode can match multiple SKUs. The selection dialog lists candidates by GSKU, REF, SKU, FNSKU, and status (no product name), so match them against the physical packaging before continuing to avoid entering data for the wrong product.

Q2: Can a submitted quantity be changed?

A2: Yes, while the sheet is Unchecked or Checking; the latest submission prevails. Once status is Checked, the PDA count page cannot edit it. Adjust on desktop if needed.

Q3: Why does a cancelled count sheet not open?

A3: Cancelled sheets show an "Inventory count order has been cancelled" dialog and cannot enter counting. Use an active sheet or start a new count from an inventory query.

Q4: What if I find a wrong quantity after finalization?

A4: Finalized sheets cannot be edited on the PDA. Verify the sheet on desktop Inventory Management - Stock Count, then create an adjustment or recount per your local procedure.

Q5: Why didn't the sheet finalize after all rows were counted?

A5: When all rows become Checked, the system shows a 【Completed】 confirm dialog automatically. You must tap 【Confirm】 to actually finalize the count sheet. Just closing the page leaves the sheet in Checking; reopen the sheet and tap 【Complete】 to finalize it.

Q6: Is inventory locked during counting?

A6: No. Count status does not lock or directly change book inventory, so other work can continue. The PDA records the count result only; it affects book inventory only after Sync Inventory is performed on desktop.
