PDA Returns

1. Scenario

【Return】 is used to register packages arriving at the warehouse and execute handling instructions issued by the customer or explicitly delegated to the warehouse. It has three tabs:

  • 【RECEIVE】: photograph the carrier label and register the return package and its contents.
  • 【VIEW】: find returns, review instructions, edit registration data, and follow synchronization results.
  • 【PROCESS】: execute restock, destroy, forward, reship, abandon, and local-photo cleanup work.

A Return Label number beginning with TUI- identifies one item inside a return package. A carrier tracking number identifies the whole package. The same scan produces different results on different pages, so verify the current page before scanning.

Prerequisites

  1. Sign in to the warehouse that physically received the return, and allow camera and scanner access.
  2. Configure a printer under 【My-Printer】 before printing Return Labels or reship shipping labels.
  3. Obtain a customer instruction or explicit delegation before restocking, destroying, forwarding, or reshipping a return.
  4. A package without an assigned customer remains unclaimed. The warehouse may use 【Abandon】 only after the configured claim window expires.

2. Steps

2.1 Print Return Labels

  1. On any 【Return】 tab, tap the More 【More】 icon in the upper-right corner.
  2. Tap 【Item Label】. This prints TUI- Return Labels for individual items; it does not print a reship shipping label.
  3. Enter a quantity or use the quick quantity buttons. The quantity must be an even number from 2 to 100.
  4. Tap 【Print】. The system creates labels containing a barcode and label number and prints them using the current printer paper settings.

If no printer is configured, the page asks you to configure one first.

2.2 Receive and register a package

  1. Open GWMS PDA-Return-RECEIVE and photograph the carrier label.
  2. The system recognizes carrier, tracking number, customer, dimensions, and weight. If the tracking number matches an announced return, instructions or remarks available to the PDA are also shown.
  3. Verify the recognized data and save the label photo to open the package registration page.
  4. Verify or complete the fields:
    • Tap Carrier or Customer Code to select again. Long-press Customer Code to clear an incorrect customer.
    • Package Location is optional. Tap the field and scan a location, or long-press it to select from the location list.
    • Verify metric/imperial dimensions, kg/lb weight, and package photos. A package supports up to six photos.
  5. Tap 【Save】. A new record is saved on the PDA first and synchronized in the background, allowing the next package to be received immediately.

If the tracking number already exists, the system shows the duplicate records. Open an existing record to verify it, or continue only when the physical package is genuinely a separate return.

2.3 Scan Return Labels to register package contents

After saving the package for the first time, open its edit page and scan a TUI- Return Label:

  • Not registered: the Add Return Detail window opens with the Return Label prefilled.
  • Registered to this package: the matching detail is highlighted and its Edit window opens.
  • Registered to another package: the system shows the existing SKU, quantity, and location and does not move the detail to the current package.

When adding a detail:

  1. Scan the SKU. One match is selected automatically; multiple matches open a selection list.
  2. If no SKU is found, add the scanned value to Remarks for later review or scan again.
  3. Verify Current Location, item dimensions and weight, add remarks when needed, and attach up to three photos.
  4. Tap 【Save and Close】. Each TUI- label registers one item by default. Scan another Return Label for the next physical item.

If the package has not been saved, scanning a TUI- label produces a message asking you to save the package first.

2.4 View, edit, and reply to instructions

  1. Open GWMS PDA-Return-VIEW and tap 【More Filters】 to filter by 【To Do】【Status】 and 【Customer】.
  2. Each record shows package photos, tracking number, status, customer, package location, instructions, and registered return details.
  3. Tap a record to open its edit page. Package fields include carrier, tracking number, customer, location, dimensions, weight, and photos. Tap a return detail to edit its SKU, quantity, location, remarks, and photos.
  4. When pending instructions exist, the edit page first shows a reminder. Scroll to 【Activities】:
    • A reviewed customer instruction that requires a response displays a reply hint.
    • Tap it, enter the handling result, and attach up to three evidence photos when needed.
  5. If a red synchronization warning appears in the list, tap it to trigger another synchronization attempt.
  6. Swipe left on an editable record to expose 【Edit】. Historical records in 【Processing】 may also expose 【Complete】; use it only after confirming that nothing remains to be handled.

Scanning a carrier tracking number directly on the 【VIEW】 tab opens the matching return edit page. If several records use the same tracking number, the system displays a message and opens the newest one. This shortcut searches tracking numbers, not TUI- Return Labels.

2.5 PROCESS entries and scan behavior

Open GWMS PDA-Return-PROCESS to see each handling method and its pending count. Scanning a carrier tracking number on the PROCESS home page opens the corresponding return edit page; it does not execute a disposition.

2.6 Restock

  1. Open GWMS PDA-Return-PROCESS-Restock and verify the pending customer, SKU, and item totals.
  2. Tap 【Confirm Restock】 to create the current return-restock batch. If a batch is already active, the page shows remaining SKU and item totals.
  3. Scan a TUI- Return Label, SKU, or GSKU to open the Restock SKU dialog. Scanning an eligible location can also open the dialog.
  4. Scan or select the destination location, then scan each item for the active SKU until Scanned equals Expected.
  5. The system shows current inventory locations and inventory age and recommends a location. Using another valid location requires an additional confirmation.
  6. Tap 【OK】 to restock the SKU. Inventory increases and the completed SKU is removed from the pending batch count.

If scanning is unavailable, tap 【Restock】 on a detail for manual processing. The page warns that Return Label scanning is the preferred method.

2.7 Destroy

  1. Open GWMS PDA-Return-PROCESS-Destroy.
  2. Scan a carrier tracking number for the whole package or a TUI- Return Label for one item. You can also tap a list record.
  3. Verify tracking number, Return Label, return-order number, and customer, and read the irreversible-action warning.
  4. Tap 【Confirm Destroy】. The selected package or detail is marked Disposed.

Only records assigned to Destroy, with an identified customer and an executable status, appear as candidates.

2.8 Forward

【Forward】 consolidates multiple returns into boxes before sending them to a new address.

  1. Open GWMS PDA-Return-PROCESS-Forward and tap 【New】. Open the new box and verify or update its length, width, height, and weight.
  2. In box detail, scan a carrier tracking number to add the whole return package. Scan a TUI- Return Label to add only that return detail. 【Add Manually】 accepts a tracking number when scanning is unavailable.
  3. When a scanned tracking number does not yet exist, Forward can enable auto-create:
    • An empty box first asks you to select the customer, then creates the return and adds it to the box.
    • During the same box-detail session, later unknown tracking numbers can be auto-created for the box customer.
  4. Tap a box item to remove an incorrect scan. Before shipment, you can also edit box data, copy box data, or delete the box.
  5. Advance the physical workflow in order: Not Sealed -> Sealed -> Labeled -> Shipped.
    • An empty box cannot be sealed.
    • Mark it Labeled only after the forward shipping label has physically been attached. This action updates status; it does not print the shipping label.
    • Mark it Shipped only after carrier handoff. All returns in the box move to Shipped, and the box becomes read-only.
  6. Tap 【Batch】, select boxes by customer or box number, and create a forwarding batch.
  7. A shipped box exposes the fee entry. It can be used to view, add, or void box fee records after customer, amount, and remarks are verified.

2.9 Reship

【Reship】 sends a whole package or an individual return item directly to a new address without consolidation.

  1. Open GWMS PDA-Return-PROCESS-Reship.
  2. Scan a carrier tracking number for a whole package or a TUI- Return Label for one item.
  3. When the record is 【Ready】, tap it and verify the tracking number, Return Label, and return-order number.
  4. Tap 【Print Label】. The system downloads the prepared reship-label PDF and sends it to the configured printer.
  5. Only after printing succeeds does the system mark the package or item Shipped.

【Label Pending】 means the reship-label PDF is not ready. The PDA will not continue to print or ship the record.

2.10 Abandon

  1. Open GWMS PDA-Return-PROCESS-Abandon.
  2. For a package without a customer, the page uses the warehouse claim window. Before expiry, it shows the remaining time and does not provide an Abandon button.
  3. After expiry, scanning the carrier tracking number immediately marks the whole package Abandoned. Scanning a TUI- Return Label applies the action to that detail.
  4. A customer-owned record explicitly assigned to Receive-only/Discard can be processed according to the instruction without the ownerless claim-window delay.
  5. Using the list's manual Abandon button opens a confirmation first.

Important: scanning an eligible barcode on the Abandon page executes the action immediately without another confirmation. Verify the page and the physical item before scanning. If the claim window has not expired, the system blocks the action and can record the denied attempt.

2.11 Clean local photos

  1. Open GWMS PDA-Return-PROCESS-Clean to review the number and size of all cached photos and photos older than one month.
  2. Tap 【Clean Old Photos】 to delete cache older than one month, or 【Clean All Photos】 to remove all local cached photos.
  3. Continue in the confirmation dialog. The page recalculates the remaining files.

Cleanup affects only the current PDA's local cache. It does not delete return photos already uploaded to the system.

Result: return packages and items are registered, customer-instruction results are recorded, and the list status is updated after restock, destroy, forward, reship, or abandon work completes.

3. Notes

  • The warehouse registers arrivals and executes confirmed instructions. Do not choose restock, destroy, forward, or reship on the customer's behalf unless the customer explicitly delegated that choice. Record the authorization in Remarks or Activities.
  • A new return is stored on the PDA first and uploaded in the background. Retry from the VIEW synchronization warning when needed.
  • A TUI- Return Label identifies one returned item; a carrier tracking number identifies the whole package. Verify which code the current page expects.
  • Restock, Destroy, Shipped, and Abandoned results affect inventory or terminal return status and cannot be reversed from the PDA.
  • Local-photo cleanup does not remove uploaded images, but local images that have not finished synchronizing must not be cleaned prematurely.

4. FAQ

Q1: Why does scanning a Return Label on VIEW or the PROCESS home page not open a record?

A1: Those shortcuts search carrier tracking numbers. Use a TUI- Return Label on the package edit page to register a detail, or on the relevant Restock, Destroy, Forward, Reship, or Abandon page.

Q2: What can be printed from the upper-right 【More】 icon?

A2: It prints TUI- Return Labels used to register individual items. It does not print a reship or forward shipping label. Reship labels print from Reship; the Labeled action for a forward box only records that the physical shipping label has been attached.

Q3: Why did scanning a TUI- Return Label open an existing detail?

A3: The label is already registered. If it belongs to the current package, the detail opens for verification or editing. If it belongs to another package, the system shows its existing assignment and prevents duplicate registration.

Q4: Why can an ownerless package not be abandoned?

A4: The configured claim window for the warehouse has not expired. Wait until the countdown ends. A customer-owned record explicitly assigned to Discard does not use the ownerless waiting rule.

Q5: Why can a reship label not be printed?

A5: Confirm that the record is Ready, the reship-label PDF has been generated, and the printer under My-Printer is connected. A print failure does not mark the record Shipped.

Q6: Why is a saved package not visible in the web system yet?

A6: New records are stored on the PDA first and synchronized in the background. Open VIEW and check the synchronization warning. Tap it to retry and keep the network available.
