Batch Import Inbound Details in GWMS

1. Scenario

When creating or editing an inbound forecast, customers can use 【Batch Import】 to upload an Excel file if there are many boxes or SKU lines. GWMS parses the file and creates box and packing detail rows in the inbound order.

This guide is for batch entry of box numbers, box count, dimensions, weight, and SKU packing details. It does not apply to inbound orders that have already started receiving, putaway, or closure.

2. Steps

Prerequisites

Confirm the following before importing:

  • Your account can create or edit inbound forecasts.
  • The target inbound order has not started receiving.
  • The SKUs to import already exist in GWMS and can be matched by the system.
  • The file format is .xlsx or .xls.

2.1 Open Batch Import

Go to GWMS-Inbound Management-Inbound Forecast, click 【Add】, or open an inbound forecast that can still be edited.

In the inbound product detail area, click 【Batch Import】.

GWMS opens the 【Batch Import】 dialog.

2.2 Download the template

Click 【Download Template】 in the import dialog.

Use the system template. Do not manually create a new file or change the template field structure unless the warehouse confirms the format.

2.3 Fill in the import file

Fill in the template with:

  • Box identifier
  • Box quantity
  • Box dimensions, including length, width, height, and unit
  • Box weight and unit
  • SKU details inside each box
  • Quantity of each SKU in the box

Important rules:

  • Box identifier cannot be empty.
  • Box quantity must be greater than 0.
  • Each box must include at least one SKU detail line.
  • SKU information must match existing SKUs in GWMS.
  • SKU quantity must be greater than 0.

2.4 Upload and preview

Drag the Excel file into the upload area, or click the upload area to select a file.

GWMS parses the file and displays a 【Data Preview】 table. The preview includes:

  • Box identifier
  • Box quantity
  • Box dimensions
  • Box weight
  • Packing details
  • Status

Only valid data can be imported.

2.5 Confirm import

After checking the preview, click 【Import】.

GWMS returns the parsed data to the inbound forecast edit page. After import, check box count, SKU quantity, dimensions, and weight again before submitting the inbound forecast.

3. Validation Rules

GWMS validates:

  • Only one file can be uploaded.
  • Only .xlsx and .xls files are accepted.
  • Box identifier and box quantity are required.
  • Box quantity must be greater than 0.
  • Each box must contain SKU details.
  • SKU details must include SKU ID, SKU code, and SKU name.
  • SKU quantity must be greater than 0.

If any row is invalid, the 【Import】 button is disabled. Correct the Excel file and upload it again.

4. Notes

4.1 Manual review is still required

Batch import is only a data entry method. Before submission, check:

  • Total box count
  • SKU quantity per box
  • Box dimensions and weight
  • Whether the correct SKUs were selected
  • Whether batch number, production date, or expiration date needs to be supplemented

4.2 How to use 【Box identifier】 in the template

【Box identifier】 is a temporary grouping value in the Excel template. It is not the final box number printed on box labels. After import, GWMS assigns consecutive box numbers based on the current box sequence in the inbound forecast.

Use it as follows:

  • Rows with the same 【Box identifier】 are grouped into the same box group in the preview.
  • Use different 【Box identifier】 values, such as 1, 2, and 3, when dimensions, weight, or packing details are different.
  • If repeated boxes have the same SKU and the same packing structure, use one 【Box identifier】 and enter the repeated quantity in 【Box count】. For example, if 10 boxes all contain the same SKU with 5 units per box, enter 【Box identifier】 as 1, 【Box count】 as 10, and 【sku count/box】 as 5.
  • If the same SKU is packed in different box types or with different per-box quantities, split them into different 【Box identifier】 values so GWMS does not merge them into one box group.
  • If one box contains multiple SKUs, enter one row for each SKU and use the same 【Box identifier】. After upload, check 【Box count】 and packing details in the 【Data Preview】 table.

4.3 Impact on labels and warehouse operation

Imported box and SKU details affect later box labels, SKU labels, receiving, and putaway. If imported data is wrong, correct it before the warehouse starts receiving.

5. FAQ

Q1: Why is there no preview after upload?

A1: Check that the file is .xlsx or .xls and that it uses the system template.

Q2: Why are some rows invalid?

A2: Common reasons include empty box identifier, box quantity less than or equal to 0, missing SKU details, unmatched SKU, or SKU quantity less than or equal to 0.

Q3: Can I edit the imported data manually?

A3: Yes. As long as the inbound order has not started receiving, you can adjust boxes and SKU details on the edit page.

Q4: Can I import again after receiving has started?

A4: It is not recommended and is usually not allowed. After receiving starts, changing inbound details can affect receiving records, exceptions, and putaway data.
