Manage Products and SKUs

1. Scenario

GWMS-Product Management contains two pages:

  • Product maintains product names. GWMS generates an SPU code after a product is saved.
  • SKU maintains the specific product variants used for inbound, inventory, outbound, and stock count operations. GWMS generates a GSKU after a SKU is saved.

One product can have multiple SKUs. For example, create one product for running shoes and separate SKUs for each color and size.

Use this guide when you need to:

  • Set up a new product and its SKUs.
  • Search or maintain existing product and SKU records.
  • Import or export SKUs, or print GSKU labels.

2. Instructions

Prerequisites

Confirm that your account can open GWMS-Product Management-Product and GWMS-Product Management-SKU.

2.1 Product page

  1. Product Management-Product: opens the product list.
  2. Search area: searches by SPU code, product name, and creation time.
  3. Actions: add, edit, delete, or export products.
  4. Product records: show the generated SPU code, product name, and creation time.
  5. Operation column: editable records show edit and delete icons, while reviewed records show Reviewed. The available content depends on the record status.

Only the product name is required when you add a product. GWMS generates the SPU code after saving. See Add a Product for detailed steps.

2.2 SKU page

  1. Product Management-SKU: opens the SKU list.
  2. Search area: searches by SKU, SKU-CN, SKU-EN, UPC, FN SKU, GSKU, Custom Code, Status, and Creation Time. It also contains Search, Reset, and filter settings.
  3. Actions: add, edit, delete, export, import, or print SKU labels. Edit, Delete, and Print remain disabled until a record is selected.
  4. SKU record: shows the product image, GSKU, Custom Code, Product Name, SKU-CN, SKU-EN, and package dimensions. Scroll the list horizontally to view measured warehouse dimensions, product status, value, and creation time.
  5. Operation column: shows the action icon available for the current SKU status. A restricted record may show only a lock icon.

When you add a SKU, select an existing product and enter the SKU codes, names, outbound packaging, package dimensions, and other required information. See Add a SKU for detailed steps.

2.3 Create records in order

  1. Open Product and check whether the product name already exists.
  2. If it does not exist, click Add and save the product name.
  3. Open SKU and search by SKU to prevent duplicate records.
  4. Click Add, select the product, and enter the SKU information.
  5. After saving, check SKU, GSKU, package dimensions, value, and product status in the list.
  6. To label the product, select the SKU and click Print. See Print SKU Labels.

Result: the product and SKU records are available in Product Management and can be used according to the status shown in the list.

3. Notes

3.1 Product, SPU, SKU, and GSKU

  • Product name: groups variants of the same product.
  • SPU code: generated by GWMS after the product is saved.
  • SKU: entered when a specific variant is created.
  • GSKU: generated by GWMS after the SKU is saved and used for identification and label printing.

3.2 Check Product Status

After saving a SKU, check Product Status in the list. An Enable record can be used according to your account permissions. If the status is Pending, wait for approval before continuing with operations restricted by status.

3.3 Select a record before editing or deleting

The Edit and Delete buttons are enabled according to the selected record. Select the target record first. If a button remains disabled, the record status or your account permissions do not allow the action.

4. FAQ

Q1: What should I do if the product name is missing when I add a SKU?

A1: Add the product in GWMS-Product Management-Product, save it, then return to the SKU page and select it from Product Name.

Q2: Why can't a product record be used directly for inbound or outbound operations?

A2: A product stores the product name and SPU. Warehouse operations use a specific SKU. Add the SKU and confirm that its product status is available.

Q3: Do I enter SPU and GSKU manually?

A3: No. GWMS generates SPU after the product is saved and GSKU after the SKU is saved.

Q4: Why is Edit or Delete disabled?

A4: Select one record first. If the button remains disabled, check whether the record has already been reviewed or whether your account has the required permission.
