Configuring Inventory Alerts in GWMS

1. Scenario
Inventory Alerts are used to monitor inventory quantity changes. Customers can configure rules at 4 levels: global, warehouse, SKU, and SKU + warehouse. When inventory reaches the configured threshold, the system shows reminder information in Smart Reminder on the home page and in the top-right Message center.
This article applies to two common scenarios:
- Add, edit, delete, import, or export inventory alert rules.
- Return to the home page to review or close triggered inventory alerts.
2. Instructions
Prerequisites
Before you start, confirm the following:
- You can access
GWMS-Warehouse Operations-Inventory Alert. - The target warehouses and SKUs already exist in the system.
- You have confirmed which alert type, alert condition, and threshold should be used.
2.1 Open the Inventory Alert page
Menu path: GWMS-Warehouse Operations-Inventory Alert
- In the left navigation, expand Warehouse Operations.
- Click Inventory Alert.
- After the page opens, review the filters, rule list, and the 4 configuration tabs.
2.2 Search existing rules
- Enter one or more filters such as Rule Name, Alert Type, Warehouse, or SKU.
- Click Search.
- The rule list refreshes based on the current filter conditions.
2.3 Switch between configuration levels
The page provides 4 configuration levels:
- Global Configuration: applies to all warehouses and all SKUs.
- Warehouse Configuration: applies to inventory rules for a specified warehouse.
- SKU Configuration: applies to a specified SKU across warehouses.
- SKU Warehouse Configuration: applies to a specified SKU in a specified warehouse.
Choose the tab that matches the monitoring scope before you add or edit a rule.
2.4 Add a new inventory alert rule
- Open the target configuration tab.
- Click Add.
- In the dialog, enter Rule Name.
- Select Alert Type and Alert Condition.
- Enter the Alert Threshold.
- Click Confirm to save.
System result:
- The new rule is created under the current configuration level.
2.5 Edit an existing inventory alert rule
- Find the target rule in the list.
- Click Edit in the Actions column.
- Update the rule name, alert type, alert condition, or threshold.
- Click Confirm to save the change.
System result:
- The rule is updated with the new settings after you save it.
2.6 Delete a rule that is no longer needed
- Find the target rule in the list.
- Click Delete in the Actions column.
- In the system prompt, confirm the deletion.
System result:
- The current rule is removed after confirmation.
2.7 Import inventory alert rules
- Click Import.
- In the import dialog, click Download Template.
- Prepare the file based on the template and upload it.
- Click Confirm to submit the import.
The current page shows support for xls and xlsx files.
2.8 Export inventory alert rules
- Switch to the required configuration tab or apply filters first.
- Click Export.
- The system exports rules based on the current page scope.
2.9 Return to the home page to view inventory alerts
- Return to the system home page.
- Check the triggered alert in the Smart Reminder area.
- If you need to review alert records in more detail, click the top-right Message entry.
- In the drop-down panel, switch to the Message tab.
- Click Inventory Alert Notification.
- Review the alert record and the detail dialog.
System result:
- Rule changes do not appear on the home page immediately.
- After you add, edit, or delete a rule, wait about 30 minutes before checking the updated home-page reminder result.
2.10 Close a home-page inventory alert
- In Smart Reminder, find the inventory alert that has already been handled.
- Click Close on the right side of the reminder card.
System result:
- The current reminder is closed in the current view.
- Closing the reminder does not delete the rule in
GWMS-Warehouse Operations-Inventory Alert.
3. Additional Notes
3.1 How to choose the right configuration level
- Global Configuration: best for monitoring all inventory with one shared rule.
- Warehouse Configuration: best for monitoring one warehouse.
- SKU Configuration: best for monitoring one SKU across warehouses.
- SKU Warehouse Configuration: best for monitoring one SKU in one warehouse.
If you only need to monitor a specific SKU in a specific warehouse, use SKU Warehouse Configuration.
3.2 Rule changes do not take effect immediately
Inventory alert rules are not applied in real time.
- After you add a rule, the home page does not refresh instantly.
- After you edit a rule, the home page does not immediately use the new threshold.
- After you delete a rule, the reminder result on the home page does not disappear immediately.
Wait about 30 minutes after a rule change, then return to the home page and check the updated alert result.
3.3 The reminder record and the rule are different objects
- The
GWMS-Warehouse Operations-Inventory Alertpage is used to maintain rules. - Smart Reminder and Message show triggered reminder records.
- Closing a reminder record does not delete the rule itself.
4. FAQ
Q1: Why doesn't the home page show a new inventory alert right after I create a rule?
A1: Inventory alert rules do not take effect immediately. After you add, edit, or delete a rule, wait about 30 minutes before checking the updated result on the home page.
Q2: If I close the reminder on the home page, will the inventory alert rule also be deleted?
A2: No. Closing the reminder only removes the current reminder record from the current view. To check whether the rule still exists, go back to GWMS-Warehouse Operations-Inventory Alert.
Q3: Why does the home page still show the old reminder after I edit or delete a rule?
A3: The home-page reminder is not refreshed immediately after a rule change. First confirm that the rule has been saved, then wait about 30 minutes and check the home page or the message center again.
Q4: Which configuration level should I use if I only want to monitor one SKU in one warehouse?
A4: Use SKU Warehouse Configuration. This level only applies to the specified SKU in the specified warehouse.
