Creating a Stock Count in GWMS

1. Scenario

Creating a Stock Count is the operation where customers select inventory details that need verification in GWMS-Inventory Operations-My Inventory and generate a count sheet.

When customers need to verify the actual quantity of a SKU stored in the warehouse, they can initiate a stock count to generate a count sheet. After the warehouse receives and counts the sheet, the count results are written back to the corresponding count sheet. Follow up subsequently in My Stock Counts.

Applicable scenarios:

  • When system inventory and offline records may not match and a count task needs to be initiated.
  • When you only want to count specific SKUs rather than the entire warehouse.
  • When you need to organize the count scope into a sheet first, then view status and details in My Stock Counts.

Not applicable scenarios:

  • To simply view current inventory quantities, refer directly to My Inventory.
  • When a count sheet has already been generated and you only want to view results or follow up on status, go directly to My Stock Counts.

2. Instructions

Prerequisites

Please confirm the following before starting:

  1. Permissions: Must be able to access GWMS-Inventory Operations-My Inventory and GWMS-Inventory Operations-My Stock Counts.
  2. Data: Inventory data must already exist under the target warehouse and be expandable for viewing details in SKU Dimension.
  3. Operations: Confirm the SKUs and warehouse to be counted in advance to avoid including unnecessary inventory in the count sheet.

2.1 Enter My Inventory and Expand Details

Menu path: GWMS-Inventory Operations-My Inventory-SKU Dimension

  1. Go to GWMS-Inventory Operations-My Inventory.
  2. The default view is SKU Dimension showing inventory summaries.
  3. Locate the SKU that needs counting and click the expand button on the left to view that SKU's inventory details.

2.2 Select Inventory and Initiate Count

Pre-condition: Inventory details are expanded normally, and the target details have not yet been added to a count sheet.

  1. In the expanded inventory detail rows, select the records to be counted.
  2. Click Count at the top left of the page.
  3. The system displays a Count Sheet window listing the warehouse, SKU, and inventory quantity added to this count.
  4. After verifying, click Confirm.

2.3 View Initiation Results

Post-condition: The count sheet has been generated and can be viewed in GWMS-Inventory Operations-My Stock Counts.

  1. Go to GWMS-Inventory Operations-My Stock Counts.
  2. Search for the newly generated count sheet number in the Count Sheet list.
  3. Confirm the sheet has been generated and view its current status.
  4. To continue following up, click a row in the count sheet to view count details.

3.1 Glossary

  • My Inventory: The page where customers view current inventory data, supporting views by SKU, warehouse, batch, and other dimensions.
  • Count Sheet: A task sheet generated by the system for this count, used to record the count scope, count quantities, and status.

3.2 What Changes After Initiating a Count

Select details in My Inventory -> Initiate Count -> Sheet generated in My Stock Counts

Notes:

  • Initiating a count only generates a count sheet; it does not directly modify inventory quantities.
  • If multiple inventory detail rows are selected at once, these records will be included together in the same count sheet.
  • After initiation, continue to GWMS-Inventory Operations-My Stock Counts to follow up on sheet status and count results.
  • The warehouse will update the count sheet after counting; please be patient.

3.3 Usage Limitations

  • Inventory impact: Initiating a count itself does not change inventory quantities. Whether actual inventory is adjusted depends on the subsequent count processing flow.
  • Data scope: Only the currently selected inventory details can be added to the count sheet. Verify the warehouse and SKU before initiating.

4. FAQ

Q1: Why is the Count button disabled?

A1: First check whether you have expanded the inventory details and selected specific records. If no details are selected, the system will not add inventory to the count sheet.

Q2: Will inventory quantities change immediately after initiating a count?

A2: No. Initiating a count only generates a count sheet to facilitate subsequent counting and verification. Current inventory quantities will not change immediately from this step.

Q3: Where can I view this count sheet after initiation?

A3: Go to GWMS-Inventory Operations-My Stock Counts, search for the newly generated sheet number in the Count Sheet list, and view the status and count details.
