Create and Track Transit Transfer Orders

1. Operation Scenario
Transit transfer is used for goods that arrive at a GWMS warehouse, stay temporarily, and then move on to another destination without becoming sellable inventory. The warehouse receives by carton, records the temporary storage location, and confirms each transfer-out.
Use this function when:
- Goods arrive at a GWMS warehouse before being forwarded to Amazon FBA, a third-party overseas warehouse, or another receiver.
- One inbound batch may go to multiple destinations.
- The warehouse needs bill of lading, warehouse tracking number, container number, mark, or attachments to identify the arrival.
Do not use this function when:
- Goods need normal inbound receiving, putaway, inventory holding, or later dropship fulfillment.
- Goods require relabeling, processing, inspection, or repacking in the warehouse.
- Goods are already managed as stock transfer inventory and should be handled by the stock transfer outbound flow.
2. Operation Guide
Prerequisites
- Your account can enter
GWMS-Transshipment-Transshipment Order. - You have prepared the receiving warehouse, first-leg transportation details, total forecasted carton quantity, and at least one destination warehouse/receiver.
- For Amazon FBA, prepare the destination warehouse code/FC Code, FBA Shipment ID, or Reference ID if available.
- If you have a bill of lading, packing list, appointment screenshot, or other handover document, upload it as an attachment when creating the order.
2.1 Enter the Transshipment Order Page
Menu path: GWMS-Transshipment-Transshipment Order
After entering the page, you can search by 【Transfer Order Number】【Warehouse】【Status】【Bill of Lading/Warehouse Tracking Number】【Container Number】【Destination Warehouse/Receiver】 or 【Creation Time】. The 【Number of Cartons (Forecast/Actual Received/Transferred Out)】 column shows the progress from forecast to transfer-out.
Legend:
- 【Transshipment-Transshipment Order】: enter the transfer order list.
- Search area: search by order number, warehouse, status, first-leg information, or destination.
- Action area: click 【Add】 to create a transfer forecast.
- Transfer order list: view status, carton quantities, and available operations.
2.2 Create a Transfer Forecast
- Click 【Add】.
- The system opens the 【Add New Transfer】 window.
- In 【Master Bill Information】, fill in estimated arrival time, first-leg transportation method, bill of lading/warehouse tracking number, container number, total forecasted cartons, and mark.
- Expand 【More Master Bill Information】 to enter your reference number, seal number, remarks, and upload attachments.
- In 【Destination Warehouse/Consignee Details】, enter at least one destination warehouse/receiver. Click 【Add New Consignee】 when the same order needs multiple destinations.
- Click 【Confirm】 to save, or click 【Cancel】 to close the window without saving.
If your account has only one available business entity or warehouse option, the system uses it automatically and does not show that selector.
Legend:
- Master bill information: enter estimated arrival time, first-leg transportation method, bill of lading/warehouse tracking number, container number, forecasted cartons, and mark.
- 【More Master Bill Information】: expand to enter reference details, seal number, remarks, and upload attachments.
- Destination warehouse/consignee details: maintain at least one destination; for FBA, add FC Code, Shipment ID, and Reference ID when available.
- 【Add New Consignee】: add another destination to the same transfer order.
- 【Confirm】【Cancel】: save as Draft, or close the window without saving.
2.3 Submit the Forecast
After saving, the order is in 【Draft】 status. When the information is ready, find the order in the list and click 【Submit】 in the operation column.
After successful submission:
- The status changes from 【Draft】 to 【Pending Receipt】.
- The warehouse can see the order in the pending receipt list and identify the arrival by bill of lading, container number, mark, and attachments.
- Your account can still track progress. Whether you can cancel or edit the order depends on the visible buttons and the current order status. In general, Draft orders can be cancelled by your account; after submission, contact an authorized user if the order needs to be cancelled or adjusted.
2.4 View Receiving and Transfer-Out Progress
Click 【View】 in the operation column to open the 【Transfer Order Details】 window. Use the detail view to check master bill information, carton progress, temporary storage location, and destination transfer-out progress.
Legend:
- Master information: view status, bill of lading/container number, carton quantities, temporary storage location, and recipient.
- Destination details: view transferred cartons, FBA information, address, delivery carrier, and destination status.
Result: after the forecast is submitted, the warehouse can receive and transfer out the goods. When transferred cartons equal actual received cartons, the order becomes 【Completed】.
3. Additional Notes
3.1 Status Flow
The common flow is: 【Draft】->【Pending Receipt】->【Received】->【Partially Transferred Out】->【Completed】.
【Cancelled】 means the order will no longer be received or transferred out. Whether the cancel action is available depends on your account permissions and the order status.
3.2 Forecasted Cartons Are Not Allocated by Destination
【Total number of forecasted boxes】 is the estimated total arriving cartons. When creating a forecast, destination details tell the warehouse where the goods may go, but you do not need to split the carton quantity by destination.
During transfer-out, the warehouse selects a destination and enters 【Number of boxes to transfer this time】. If the batch is transferred out in several rounds, the system accumulates the transferred quantity.
3.3 Transit Transfer Does Not Create Inventory
Transit transfer is a temporary, fast-moving process. It does not go through normal inbound putaway, does not create sellable inventory, and does not generate GWMS inbound carton labels. The temporary storage location only shows where the goods are placed before transfer-out.
3.4 Mark and GWMS Carton Label Are Different
【Mark】 is the existing identifier on incoming cartons, pallets, or first-leg documents. It may come from the supplier, first-leg carrier, loading documents, packing list, or bill of lading. The warehouse uses it to match the actual arrival.
Normal inbound carton labels are generated by GWMS for receiving, putaway, and inventory control. Transit transfer does not follow that inventory flow, so this field records the existing incoming mark.
3.5 FBA Fields Are Only for FBA Destinations
For Amazon FBA destinations, fill in 【Destination Warehouse Code/FC Code】【FBA Shipment ID】 and 【Reference ID】 when available. For third-party overseas warehouses or other receivers, fill in the general receiver, contact, address, and delivery information.
4. FAQ
Q1: Why do I not see the business entity or warehouse selector?
A1: If your account has only one available business entity or warehouse option, the system uses it automatically and hides the selector.
Q2: One transfer order has multiple destinations. How are cartons allocated?
A2: You do not allocate cartons during forecast creation. The warehouse selects a destination and enters the transfer-out quantity when the goods actually leave the warehouse.
Q3: Can I change destinations after submission?
A3: Draft orders can be edited directly. For Pending Receipt, Received, or Partially Transferred Out orders, contact an authorized user to update or add destinations. A destination that already has transfer-out records is usually locked; remaining cartons should be handled by adding or adjusting destinations that have not been transferred out.
Q4: Is FBA Shipment ID required?
A4: No. It is recommended only for Amazon FBA destinations. For non-FBA destinations, use the general receiver and address information.
Q5: Why is there no inventory quantity for transit transfer?
A5: Transit transfer does not go through putaway. It only records receiving, temporary storage, and transfer-out. Use normal inbound or stock transfer flows when goods need to become sellable inventory.
