1. Scenario

Business Journal records fees generated by inbound, in-warehouse, outbound, storage, work order, return, and other operations. The page provides Detail Dimension and Business Dimension for reviewing individual charges or totals by business order.

Use this page to:

  • Find a charge by transaction number or business order number.
  • Check charge amount, refund amount, and billing status.
  • Review total charges, total refunds, and net amount for one business order.
  • Identify the operation that generated a charge.

2. Instructions

Prerequisites

  1. Your account can open GWMS-Fee Management-Business Journal.
  2. Prepare a transaction number, business order number, warehouse, status, or charge time when possible.

2.1 Search the Business Journal

  1. Expand Fee Management.
  2. Click Business Journal.
  3. Enter the transaction number, business order number, warehouse, status, fund type, billing time, or other filters.
  4. Select a billing type when needed, then click Search. Click Reset to clear the filters.

2.2 Review Detail Dimension

Detail Dimension shows each charge. The list includes:

  • Transaction number, business order number, and warehouse code
  • Customer code and business name
  • Amount and fund type
  • Refund amount and refund status
  • Charge type
  • Charge, processing, and billing status
  • Remark, charge time, and operation

To explain one deduction, search by business order or transaction number, then check its amount, charge type, and statuses.

2.3 Review Business Dimension

Click Business Dimension to group records by business order. The list includes:

  • Business order number and warehouse code
  • Customer code and business name
  • Total charge, total refund, and net amount
  • Number of journal entries and latest charge time

To inspect the entries behind a total, return to Detail Dimension and search by business order number.

Result: the source of a charge and its detail or business-level total have been identified.

3. Notes

3.1 Business Journal and Account Transaction

  • Business Journal explains why an operation generated a charge.
  • Account Transaction explains how the account balance changed.

For the balance after a deduction, open Account Transaction.

3.2 Charges, refunds, and net amount

Net amount is the total charge minus the total refund. If a refund is still processing, check Refund Status together with the refund amount.

3.3 Billing status

A journal entry may exist before it is included in a bill. Use Billing Status to determine whether it has entered Accounts Receivable.

4. FAQ

Q1: Why does one business order have multiple entries?

A1: One operation can generate several charge items. Use Detail Dimension for individual entries or Business Dimension for the total.

Q2: Why are total charge and net amount different?

A2: The business order has a refund. Check total refund and refund status.

Q3: Why is a journal entry missing from Accounts Receivable?

A3: Check Billing Status. An entry that has not been billed is not included in a business bill.

Q4: How do I check the account balance after a charge?

A4: Open GWMS-Fee Management-Account Transaction and search by business order or transaction number.
