Quick Start

1. Scenario
Use this guide after signing in to GWMS for the first time to check page settings, understand the current business modules, and choose the right order for the first batch of work.
Use this guide when:
- The account was just activated and language, timezone, and menu permissions need to be checked.
- You are using Home for the first time and need to decide which module to open.
- Product, inbound, inventory, outbound, or fee records already exist and you need the correct page.
If existing goods and warehouse stock must be brought into GWMS together, complete System Migration first. If you already know the target page, open the corresponding guide linked below.
2. Instructions
Prerequisites
- You have a valid sign-in account and password.
- The required business timezone and primary warehouse are known.
- Your account has the required menu and warehouse data permissions.
- If a personalized menu is active, it includes the target business page.
2.1 Check the top area after sign-in
After signing in, check the top area of the page:
- Check the current date, time, and timezone. Click the timezone name to change the timezone used to display business times.
- Click the language icon and select Chinese, English, French, or Spanish as required.
- Check the left menu and page title after switching. Refresh the page if the language does not change; select the timezone again if the displayed time is unexpected.
- Check the account name in the upper-right corner and make sure that the correct account is in use.
Timezone changes how page and document times are read; it does not change completed business records. When several people verify the same record across timezones, agree on one timezone first.
2.2 Review Home and the current business modules
Menu path: GWMS-Home
Figure legend:
Refresh: reloads the Home cards, reminders, and charts.- Statistics cards: show
Total Inventory,Available Inventory,Inventory Pending Receipt,Pending Submission for Outbound,Pending Shipment, andShipped. Smart Reminder: shows items that currently require attention.Financial Overview: shows the account balance.Inbound/Outbound Load for the Past Seven Days: shows business quantities for the most recent seven days.Inventory Health: shows healthy, slow-moving, and stagnant inventory.
The primary business modules are:
| Module | Work handled | Suggested entry |
|---|---|---|
| Product Management | Create products and SKUs, and print SKU labels | Manage Products and SKUs |
| Platform Management | Store authorization, platform orders, and SKU mapping | Store Authorization |
| Fee Management | Quotations, account transactions, invoices, accounts, Truck Inquiry, and Truck Address Book | Business & Quotations |
| Inbound Management | Create inbound forecasts and review receiving, putaway, and new-product progress | Inbound Forecast |
| Inventory Management | Query inventory, create stock counts, and set inventory alerts | My Inventory |
| Outbound Management | Create dropship or stock transfer orders | Create Dropship Order |
| Return Management | Query and process return orders | Return Orders |
Home does not currently provide a warehouse filter. To review one warehouse, open the corresponding inbound, inventory, or outbound list and apply its warehouse filter.
2.3 Prepare first-use data
Choose the applicable path:
- Existing products, SKUs, and opening inventory must be migrated: refer to System Migration and prepare products, SKUs, then opening inventory.
- Only a few items must be added: Add a Product, then Add a SKU. Continue to Print SKU Labels when labels are required.
- Orders will be synchronized from an ecommerce platform: complete Store Authorization and Platform SKU Mapping, then review Platform Orders.
- Before starting chargeable operations: review the active Business & Quotations and the account balance under Fee Management. When funds must be added, use
Add Funds(top-up request) inMy Account. - When a truck rate is required, maintain the Truck Address Book first, then create a Truck Inquiry.
2.4 Process inbound, inventory, and outbound in order
Recommended order:
Prepare products and SKUs → Create an inbound forecast → Review receiving and putaway → Verify inventory → Create an outbound order → Review fees and returns
- Open Inbound Forecast to search, add, and export on the list page;
Bulk Import,Save Draft, andSubmitare on theAddpage. If theBusinessdrop-down has no options, the account has no configured business type or active quotation yet; contact your implementation contact or administrator. - After warehouse processing begins, use Receiving Record and Shelving Record to review progress. Use New Product Maintenance when product information must be completed.
- After putaway, open My Inventory and check available inventory, total inventory, and warehouse distribution. Use My Stocktaking for stock counts and Inventory Alert for inventory thresholds.
- Choose Create Dropship Order or Create Stock Transfer Order according to the fulfillment method.
- After fees are generated, review Account Transactions and Invoices under Fee Management.
- When a return occurs, open Return Orders and continue processing it.
Result: the account, language, timezone, and permission scope are confirmed. Product, inbound, inventory, outbound, fee, and return work can all be opened from the corresponding current module.
3. Notes
3.1 Home is an overview, not a replacement for business lists
Use Home to review inventory scale, pending work, reminders, balance, and trends. Open the corresponding list and record details to verify an individual SKU, document status, or fee. If Home has not changed after recent work, click Refresh; if a difference remains, use the business list and record details as the reference.
3.2 Menus vary with permissions and personalized scenes
Visible menus and warehouse scope may differ between accounts. If a page is missing, open Personalized Menu-All Apps at the bottom of the left menu. If it is still missing, ask your implementation contact or administrator to check menu and data permissions.
3.3 Do not create the same business twice
- Search by SKU or GSKU before importing to avoid duplicate records.
- Opening inventory and daily inbound have different purposes; do not process the same goods through both.
- After submitting an inbound forecast or outbound order, check its status in the list instead of creating another record because the page has not refreshed yet.
4. FAQ
Q1: What should I do after signing in for the first time?
A1: Check the account name, language, and timezone, then check the left menu. Refer to System Migration first when existing goods and inventory must be brought in. If master data is ready, begin with Inbound Forecast.
Q2: Why does every value on Home show 0?
A2: Click Refresh, then check the corresponding inbound, inventory, or outbound list. If the lists are also empty, 0 is the current business result. If a list contains records but Home still shows 0, use the list as the reference and check the account's data permissions.
Q3: Why can't I see a menu mentioned in this guide?
A3: Switch to Personalized Menu-All Apps first to rule out menu filtering. If the page is still missing, confirm that your account has permission for the menu and its warehouse data.
Q4: Existing stock is already in the warehouse. Should I create an inbound forecast?
A4: If the stock was already in the warehouse before go-live, follow System Migration for opening inventory. Use Inbound Forecast only for new arrivals after go-live. Do not establish inventory for the same goods twice.
Q5: Why can't an added SKU be used for inbound or outbound?
A5: Open Product Management-SKU and confirm that the record exists and its status is Enable. Also confirm that your account can view the SKU. If the status is Pending, wait for approval.
