Add a SKU in GWMS

1. Scenario

A SKU identifies a specific variant under a product, such as a color, size, bundle, or packaging version. After the SKU is saved, the system generates a GSKU. Inbound, inventory, outbound, stock count, and label printing use these codes to identify products.

Use this guide when:

• A product already exists and a SKU needs to be added under it.
• One product has multiple variants that require separate inventory or outbound packaging rules.
• The product contains batteries, requires serial number management, or needs a specific outbound packing method.

This guide is not for creating the product name itself. If the product name does not exist yet, create it first in GWMS-Product Management-Product.

2. Instructions

Prerequisites

Confirm the following before adding a SKU:

1. Your account can open GWMS-Product Management-SKU, and the page shows Add.
2. The product name has been created in GWMS-Product Management-Product.
3. SKU, SKU-CN, SKU-EN, outbound packaging, and package dimensions are ready.
4. If the product contains batteries, battery type, voltage, capacity, energy, MSDS, transportation report, and validity date are ready.

2.1 Open the SKU page and click Add

Menu path: GWMS-Product Management-SKU

On the SKU list, use the search area to check existing records before creating a new one. After confirming that the SKU should be added, click Add on the toolbar.

1. Search area: search by SKU, SKU-CN, SKU-EN, UPC, FN SKU, GSKU, status, and creation time.
2. Add: opens the Add SKU dialog.

2.2 Enter product, codes, and outbound packaging

In the Add dialog, enter the basic information:

1. Product Image: optional. The page indicates png/jpg/jpeg, up to 5MB.
2. Product Name: select an existing product name from the dropdown. If the product name is missing, create the product first, then return to add the SKU.
3. SKU: required. Use letters, numbers, and hyphens only; maximum length is 40 characters.
4. SKU-CN and SKU-EN: required. They are used as the Chinese and English SKU names.
5. Outbound Packaging: required. Options are No packing required, Pack by bag, and Pack by box.
6. UPC, FNSKU, and Custom Code: fill them in when needed. UPC must be numeric and cannot start with 0.

Figure legend:

1. Product image: upload a SKU image when needed.
2. Basic information: select product name, then enter SKU, SKU-CN, SKU-EN, and outbound packaging.

2.3 Enter package dimensions, value, and serial number management

Package Dimensions records the length, width, height, and weight after the product is packaged. The metric row uses CM/KG; the imperial row uses IN/LB. After you enter either side, the page converts the other side automatically. Before submitting, confirm that the metric package dimensions are complete.

For Value, choose $ or ￥, then enter the product value according to the actual declaration or internal pricing rule.

Serial Number Management options:

• Not required: serial numbers are not required for inbound or outbound operations.
• Outbound required: serial numbers are required for outbound operations.
• Inbound/Outbound required: serial numbers are required for both inbound and outbound operations.

2.4 Set battery, dangerous goods, and bundled shipment options

The lower part of the dialog includes these switches:

• Battery: turn it on when the product contains a battery or electronic component.
• Dangerous Goods: turn it on when the product is classified as dangerous goods.
• Bundle Shipment Supported: turn it on when the product can be shipped together with other products.

After Battery is turned on, the battery information area appears. Battery Type, Battery Voltage, Capacity(AH), Energy(WH), MSDS, Transportation Report, and Battery Validity Date are required. Battery Supplier, Packing Supplier, Package Percentage, UL Certification, UL Issuing Authority, and UL Number can be added when available.

If Battery is turned off, battery information is not saved. After battery information has been saved for a SKU, the Battery switch may no longer be editable when the SKU is edited later.

2.5 Submit and check the result

After required fields are complete, click Confirm. When the submission succeeds, the system shows Operation successful and returns to the SKU list.

Check the list after saving:

1. The new record appears in the SKU list.
2. SKU, SKU-CN, SKU-EN, package dimensions, and value are correct.
3. The generated GSKU is displayed.
4. Product Status is Enable or Pending. If it is Pending, wait for approval before using the SKU in related operations.

Result: the SKU is created and can be found in GWMS-Product Management-SKU.

3. Notes

3.1 Product name and SKU relationship

The product name is the product record. The SKU is the specific variant under that product. Select an existing product name when adding a SKU. Do not type a new, uncreated product name directly in this field.

3.2 GSKU is generated after saving

The Add dialog does not require manual GSKU entry. After the SKU is saved, the system generates a GSKU from the account coding rule and the SKU, then displays it in the list.

3.3 Package dimensions affect later operations

Package dimensions are used for inbound identification, outbound packing, and some charge calculations. Enter the dimensions after packaging, not the bare product dimensions.

3.4 Confirm outbound packaging and serial number management first

Outbound Packaging affects how the product is packed for outbound orders. Serial Number Management affects whether serial numbers must be recorded during inbound or outbound operations. Confirm these rules before saving.

4. FAQ

Q1: Why does the system say the SKU already exists?

A1: The same account cannot use the same SKU more than once. Search the SKU list first. If this is a new variant, use a different SKU code.

Q2: Why does the system say UPC or SKU already exists?

A2: Check whether UPC or SKU has been used by an existing record. UPC must be numeric and cannot start with 0; leave UPC blank if it is not required.

Q3: Why can't I submit after turning on Battery?

A3: Complete the required battery fields: battery type, battery voltage, capacity, energy, MSDS, transportation report, and battery validity date.

Q4: Why is the new SKU Pending?

A4: Some accounts require SKU approval after creation. Wait until the status changes to Enable before using the SKU in related operations.
