FAQ: How to cancel an approved order?

Problem Description

My outbound order is already showing as "Approved," but I need to cancel it due to an unexpected reason. How should I proceed in the GWMS system?

Solution

In the GWMS system, whether an approved order can be cancelled depends on the warehouse's actual operational progress:

  1. Scenarios where online cancellation is possible:

    • The order has been approved but has not yet been pulled into a "Wave" or assigned to a "Picking Task" by the warehouse.
    • Navigation path: Go to GWMS-Outbound Management-Outbound Orders, locate the target order in the list, and click Cancel or Cancel Submission in the actions column on the right.
    • System feedback: If cancellation conditions are met, the system displays Operation successful, and the order status returns to "Draft" or moves directly to the "Cancelled" tab.
  2. Scenarios where online cancellation is not possible:

    • Warehouse staff have already clicked "Start Picking," generated wave details, or completed label printing and outbound review.
    • In this case, the Cancel button on the page will typically be grayed out and disabled, or clicking it will prompt Order is already in progress and cannot be cancelled.
  • Try online first: First attempt to click Cancel in the Outbound Management list.
  • Communicate offline promptly: If online cancellation is not possible, immediately contact warehouse operators via instant messaging (e.g., Feishu, WeChat) or phone to request a manual interception.
  • Fee note: If the order has already been shipped, the warehouse may charge a corresponding "cancellation handling fee" or "return processing fee," subject to the terms in the Business Quotation.
