My Inventory

1. Scenario

Open GWMS-Inventory Management-My Inventory to search by warehouse, SKU, batch, putaway date, or inventory quantity. The page provides four views: detail, SKU, warehouse, and batch. Opening it from the menu selects the leftmost 【Detail Perspective】 tab by default.

Use the detail view to compare inventory across warehouses, batches, and putaway times. Switch to the other views for grouped results. You can export inventory or select records in 【SKU Perspective】 to start an inventory count.

2. Steps

Prerequisites

  • Your account can open 【Inventory Management-My Inventory】 and view the target warehouse and SKU inventory.
  • To start a count here, your account needs inventory count permission and selectable detail rows in 【SKU Perspective】.

2.1 Search inventory

My Inventory detail view

The numbered callouts identify page areas, not a sequence of actions:

  1. The 【Inventory Management-My Inventory】 menu entry.

  2. Warehouse, SKU, batch, 【Listing Date】, quantity, and 【Check Warning Inventory】 filters, plus 【Search】 and 【Reset】.

  3. 【Export】 and the export field configuration entry.

  4. The four tabs, with 【Detail Perspective】 selected.

  5. The detail table headers: SKU, GSKU, warehouse, batch, inventory age, putaway time, volume, and inventory quantities.

  6. Open 【My Inventory】 and set the warehouse, SKU, batch, or putaway date filters you need. The putaway date filter is labeled 【Listing Date】.

  7. To filter quantities in 【Detail Perspective】 or 【SKU Perspective】, select an inventory field, choose >=, <=, or =, and enter a non-negative quantity.

  8. Click 【Search】. For example, 【Available Inventory】 >= 10 returns records with at least 10 available units.

  9. Click 【Reset】 to clear the filters. Searching, resetting, or refreshing the detail view returns to the first page; use pagination to review further results.

2.2 Switch views

TabWhen to use itDisplay
【Detail Perspective】Check inventory for a warehouse, SKU, batch, and putaway timeDefault view; flat, paginated rows with no 【Expand/Collapse】 button
【SKU Perspective】Review warehouse quantities for an item, pending receipt quantities, or select records for a countGrouped by SKU; expand to see inventory details
【Warehouse Perspective】Review item distribution by warehouseExpand or collapse warehouse groups
【Batch Perspective】Review inventory and inventory age by batchExpand or collapse batch groups

Use 【Expand/Collapse】 in the grouped views to open or close their detail rows.

Quantity filters apply as follows:

  • 【Detail Perspective】 supports 【Pending Outbound Inventory】, 【Defective Inventory】, 【Available Inventory】, and 【Total Inventory】. Pending receipt inventory is unavailable here.
  • 【SKU Perspective】 also supports pending receipt inventory.
  • 【Warehouse Perspective】 and 【Batch Perspective】 do not offer quantity filters. A previously entered quantity condition does not restrict queries or exports in these views.
  • Switching from a pending receipt filter in 【SKU Perspective】 to 【Detail Perspective】 clears the inventory field. Choose a supported field to continue filtering.

2.3 Read inventory details

Each detail row represents inventory for the same warehouse, SKU, batch, and putaway time within your account. Different batches or putaway times produce separate rows for the same SKU. This view does not show storage locations.

The table includes SKU, GSKU, warehouse, batch, inventory age (labeled 【Shelf Life (Days)】), 【Shelving time】, 【Volume (m³)】, and these quantities:

  • 【Pending Outbound Inventory】: Quantity reserved by outbound operations.
  • 【Defective Inventory】: Quantity recorded as defective.
  • 【Available Inventory】: Total inventory minus pending outbound and defective quantities, displayed as zero if the result is negative.
  • 【Total Inventory】: The on-hand quantity for this row.

For example, 100 total units minus 20 pending outbound units and 5 defective units leaves 75 available units. The volume cell shows available and total volume.

Click a linked 【GSKU】 to open item details. A missing putaway time is displayed as -.

To review planned inbound quantities that have not yet been received, switch to 【SKU Perspective】. These quantities are not assigned to a specific batch detail row.

2.4 Count or export

Start an inventory count:

  1. Switch to 【SKU Perspective】 and search for the item.
  2. Expand the result and select eligible inventory detail rows.
  3. Click 【Inventory Check】 to continue creating a count order. The button is unavailable while no record is selected.

【Detail Perspective】 has no row-selection entry. You can also open My Stocktaking (the menu is labeled 【My Inventory Count】), click 【Add】, and query inventory by warehouse and SKU.

Export inventory:

  1. Choose the view to export, set the filters, and search.
  2. Use the field configuration entry beside 【Export】 if you need to change the exported columns.
  3. Click 【Export】 to export the selected view with its applicable filters. The detail export uses the filename “Inventory Detail” followed by a timestamp. It is not limited to the current page.

Completion result: you verify inventory by warehouse, batch, and putaway time, then export results or create an inventory count order as needed.

3. Notes

  • Pending receipt and pending outbound inventory are in-transit or reserved quantities. They do not mean that inbound or outbound operations are complete. Use available inventory when deciding how much can be shipped.
  • 【Check Warning Inventory】 limits results to the inventory alert scope. Opening an inventory alert reminder from the dashboard selects 【SKU Perspective】 and applies the corresponding SKU. Warehouse-specific alerts also apply the warehouse filter.
  • Opening an inventory health range from the dashboard selects 【Batch Perspective】 and applies the corresponding putaway date range. These links retain their views even though opening the menu defaults to the detail view.
  • 【No Data】 can mean that warehouse, SKU, batch, date, or quantity filters exclude the results. Reset and search again before concluding that no inventory exists.

4. FAQ

Q1: Which view should I use?

A1: Use 【Detail Perspective】 to check individual warehouse, batch, and putaway-time combinations. Use 【SKU Perspective】 for item groups, pending receipt quantities, or counts; 【Warehouse Perspective】 for warehouse distribution; and 【Batch Perspective】 for batch groups and inventory age.

Q2: Why is Inventory Check disabled?

A2: The default detail view has no row selection. Switch to 【SKU Perspective】, expand the result, and select eligible details. You can also click 【Add】 under 【My Inventory Count】.

Q3: Why is total inventory greater than available inventory?

A3: Total inventory includes pending outbound and defective quantities. The detail view subtracts both from the available quantity.

Q4: Why does the detail view have no pending receipt field or expand button?

A4: It displays flat rows by warehouse, SKU, batch, and putaway time, so expansion is unnecessary. Pending receipt quantities have no specific batch assignment; view or filter them in 【SKU Perspective】.

Q5: Does my quantity filter still apply after switching views?

A5: Quantity filters apply only in the detail and SKU views, including exports. They do not restrict warehouse or batch results. Switching a pending receipt filter from the SKU view to the detail view clears the field; choose another field to continue.
