Use GWMS to Perform Inventory Count

1. Scenario

Definition: Inventory Count is used to compare the physical stock in the warehouse with the current inventory result in GWMS. After counted quantities are recorded, the system can calculate the profit-and-loss difference for the counted items.

Purpose: The warehouse team can use this page to create inventory count documents, generate count details by the current supported scope, record counted quantities, synchronize verified stock differences, and print or export the count result.

Applicable scenarios:

  • Monthly inventory counting.
  • Spot checks for one warehouse zone, one SKU scope, or one customer scope.
  • Follow-up review after an inventory discrepancy is found.
  • Internal warehouse reconciliation before stock adjustment.

Not applicable:

  • If you only need to review the current inventory result, use Inventory Management.
  • If you need to trace why inventory changed, use GWMS-Warehouse Operations-Inventory Records.
  • Verified differences synchronized from Inventory Count will affect system inventory, so confirm counted quantities before synchronization.

2. Operation Guide

Prerequisites

Please confirm the following before you start:

  1. Your account can open GWMS-Warehouse Operations-Inventory Count.
  2. The target warehouse, warehouse zone, storage location, SKU, and customer data are already maintained.
  3. The items to be counted already have inventory records in the system.
  4. The warehouse team has already finished the physical count or assigned staff to count against the document.

2.1 Open the Inventory Count page

Menu path: GWMS-Warehouse Operations-Inventory Count

  1. Sign in to GWMS.
  2. In the left navigation, expand Warehouse Operations.
  3. Click Inventory Count.
  4. The top area shows filters such as Warehouse, Inventory Document Number, and Inventory Status. The middle area shows actions such as Add, Export, and Print. The list below shows inventory count documents.

The current list includes fields such as:

  • Inventory Document Number
  • Warehouse
  • Inventory List Type
  • Initiator
  • Initiation Time
  • Operator
  • Operation Time
  • Inventory Status
  • Inventory Sync
  • Total Profit and Loss Quantity
  • Remark
  • Actions

2.2 Create an inventory count document

  1. On the document list page, click Add.

  1. The system opens the Inventory Wizard.
  2. In step 1, select Warehouse.
  3. If needed, enter Remark.
  4. Click Next Step.

2.3 Set inventory details in the current English page

After step 1 is completed, the current English page shows three visible ways to generate count details:

  • Inventory by Warehouse Zone
  • Inventory by SKU
  • Inventory by Customer

This English document follows the current English UI and uses the detail-setting methods shown on that page.

2.3.1 Generate details by warehouse zone

  1. In step 2, keep the Inventory by Warehouse Zone tab selected.
  2. Select Warehouse Area.
  3. If needed, enter Remark.
  4. Click Submit.

  1. The system opens the submission confirmation dialog.
  2. Click Confirm.

2.3.2 Generate details by SKU

  1. In step 2, switch to Inventory by SKU.
  2. Select SKU.
  3. If needed, enter Remark.
  4. Click Submit.

If the SKU field is empty, the current page shows a required-field validation message.

2.3.3 Generate details by customer

  1. In step 2, switch to Inventory by Customer.
  2. Select Client.
  3. If needed, enter Remark.
  4. Click Submit.

2.4 Review the created inventory count document and open the detail panel

After the wizard is submitted, the new document appears in the list.

Click the target Inventory Document Number to open the detail panel.

The current detail panel shows fields such as:

  • Storage Location
  • GSKU
  • SKU
  • Inventory Quantity
  • Inventory Count
  • Profit and Loss Quantity
  • Inventory Status
  • Sync Status
  • Remark

2.5 Record counted quantities

  1. In the detail panel, find the detail line that needs to be counted.
  2. Click the edit action in the Actions column.
  3. In Modify Inventory Details, review Storage Location and SKU.
  4. Enter Inventory Count.
  5. If needed, enter Remark.
  6. Click Confirm.

After the quantity is recorded, return to the detail panel and continue counting the remaining lines as needed.

2.6 Synchronize verified differences

  1. In the detail panel, select the detail rows that should be synchronized.
  2. Click Sync Inventory.

Use this action only after the counted quantity has been verified and the stock difference is ready to be written back to inventory.

2.7 Complete the inventory count document

  1. Return to the document list after the required count work is finished.
  2. In the Actions column, click Inventory Completed.
  3. The system opens the completion confirmation dialog.
  4. Click Confirm.

2.8 Export or print count data

If you need to print one inventory count document, select the document row first.

The system opens the print method dialog. The current page shows two print types:

  • Print by Document
  • Print by Storage Location

Choose the required print type and click Confirm.

3. Additional Notes

3.1 Inventory count document statuses on the current page

  • Not Checked: The document has been created, but the count work is not finished yet.
  • Cancel: The document is canceled and kept for historical review.

The current page also shows the Inventory Completed action in the list so the warehouse can finish one count document after the required detail work is done.

Use the current Inventory Status and Inventory Sync columns together when reviewing whether a document is still waiting for count or synchronization work.

3.2 Inventory synchronization

Sync Inventory is used to write verified count differences back to inventory. Run this action only after the counted quantity has been checked carefully.

Before synchronization, confirm:

  • The correct detail rows are selected.
  • The counted quantity has already been recorded.
  • The difference is expected and has been reviewed internally if needed.

3.3 Difference between the Chinese and current English detail-setting methods

The current Chinese warehouse document describes older detail-generation wording such as zone, SKU, and specific-detail counting. The current English screenshots show the visible tabs Inventory by Warehouse Zone, Inventory by SKU, and Inventory by Customer.

This English article follows the current English page and only keeps the detail-setting methods that are visible in the English UI.

4. FAQ

Q1: Why can't I submit the wizard when generating details by SKU?

A1: The current page requires the SKU field on the Inventory by SKU tab. Select a valid SKU first, then click Submit again.

Q2: Where do I record the counted quantity?

A2: Open the document detail panel, click the edit action in the detail row, enter the value in Inventory Count, and confirm the change.

Q3: When should I use Sync Inventory?

A3: Use it only after the counted quantity and the difference have been checked and approved for synchronization to system inventory.

Q4: How do I print one inventory count document?

A4: Select the target document row first, click Print, choose Print by Document or Print by Storage Location, and then confirm.
