Query and Process Warehouse Inventory

1. Scenario

Inventory Management is used to review the current warehouse inventory result and continue with inventory adjustment, export, import, and stock transfer.

  • Total Inventory: All inventory quantity recorded by the system, including pending outbound, defective, and normal inventory.
  • Inventory Pending Shipment: Inventory already reserved by outbound operations and waiting to be shipped.
  • Inventory Pending Receipt: Inventory still in the inbound process and not yet fully converted into available stock.
  • Defective Inventory: Inventory currently stored in the defective area.
  • Available Inventory: Inventory that can be shipped now, excluding defective inventory and pending outbound inventory.

2. Open Inventory Management

Menu path: GWMS-Warehouse Operations-Inventory Management

  1. Open GWMS-Warehouse Operations-Inventory Management.
  2. Select Warehouse first. Add Location, GSKU, Client, or Batch only when you need to narrow the result.
  3. Click Search to load the inventory result.

3. Review Inventory

3.1 Switch Perspectives

  • Detail Perspective: Review one exact inventory line, including location, Lot No., Inventory Age, and inventory quantities.
  • Location Perspective: Review what is stored in one location and start stock transfer.
  • SKU Perspective: Review the inventory result of one product in the current scope.
  • Customer Dimension: Review the inventory currently occupied by one customer.
  • Warehouse Perspective: Compare inventory quantity and volume across warehouses.
  • Batch Perspective: Review one specific batch or aged inventory.

3.2 Review Inventory Results

After searching, review Warehouse Location, Client, GSKU, Lot No., Inventory Age, Inventory Pending Shipment, Defective Inventory, Available Inventory, and Total Inventory directly in the result area.

If you need to correct one inventory line, use Detail Perspective. If you need to move stock, switch to Location Perspective.

4. Adjust Inventory

Applicable scenario: you need to correct the total quantity of one inventory line.

  1. Open Detail Perspective.
  2. Click the value under Total Inventory on the target line.
  3. In the Adjust Inventory dialog, confirm the current inventory.
  4. Enter Adjustment Quantity or enter Target Inventory directly.
  5. Enter Remarks, then click Confirm.

5. Export Inventory

  1. Set at least one filter.
  2. Click Search to confirm the result scope.
  3. Click Export.
  4. The system downloads the current result.

6. Import Inventory

Applicable scenario: system initialization, or bulk inventory backfill from the template.

  1. Click Import.
  2. In the dialog, click Download Template.
  3. Prepare the file and upload it.
  4. Click Confirm to submit the import.

7. Start Stock Transfer

Inventory Management supports two transfer methods: batch transfer after selecting detail lines, and inline transfer in Location Perspective.

7.1 Start Batch Transfer After Selecting Detail Lines

  1. Open Location Perspective and expand the target location.
  2. Select the detail lines that need to be moved.
  3. Click Inventory Transfer.

  2. Expand the location and select the detail lines to move.

  3. Click Inventory Transfer.

  4. In the SKU Transfer dialog, click DESTINATION.

  5. Select the destination location and enter the transfer quantity.

  6. Click Confirm.

7.2 Start Inline Transfer in Location Perspective

  1. Open Location Perspective.
  2. Select the destination location on the target row first.
  3. Click All Transfer or Inventory Transfer on the same row.

8. Additional Notes

8.1 What to Check Before Adjusting Inventory

  • The adjustment entry is available only in Detail Perspective.
  • Remarks is required. It is best to record the reason clearly for later review.
  • If the current line already has Inventory Pending Shipment or Defective Inventory, the available inventory after adjustment cannot be less than 0.

8.2 Export and Import Limits

  • You must set at least one filter before export.
  • Inventory import supports only .xls and .xlsx files.
  • If the same GSKU belongs to multiple business records, the system prompts you to complete the business information and import again.

8.3 Stock Transfer Limits

  • The top Inventory Transfer button works only for the selected detail lines under Location Perspective.
  • Inline Inventory Transfer or All Transfer appears only after the destination location is selected.
  • The source location and destination location cannot be the same.

9. FAQ

Q1: Why does nothing happen when I click Export?

A1: Add at least one filter first, then click Export. The system does not export the full warehouse result without a scope.

Q2: Why is the top Inventory Transfer button gray?

A2: This button works only in Location Perspective. Expand the location and select the detail lines first, then the button becomes available.

Q3: Where can I review the result after the transfer is completed?

A3: Open GWMS-Warehouse Operations-Warehouse Transfer Operations to review the transfer order, or open GWMS-Warehouse Operations-Inventory Log to review the deduction from the source location and the increase in the destination location.
