Receive and Transfer Out Transit Transfer Orders

1. Operation Scenario
Transit transfer handles arrivals that do not become inventory. The warehouse identifies the incoming goods, confirms receiving, maintains destinations and delivery details, confirms transfer-out, and uploads POD/signature proof.
Use this function when:
- Goods arrive at the warehouse, do not need putaway, and will be temporarily stored before forwarding.
- One transfer order may be transferred out in several rounds or to multiple destinations.
- The warehouse needs to record actual received cartons, pallets, temporary storage location, delivery carrier, delivery tracking number, and POD/signature proof.
Do not use this function when:
- Goods need to become inventory, participate in picking, packing, or normal outbound fulfillment.
- Goods require relabeling, processing, inspection, or repacking.
- Goods are already managed as stock transfer inventory and should be handled by stock transfer packing.
2. Operation Guide
Prerequisites
- Your account can enter
GWMS-Transshipment-Transshipment Order. - Your account has the required operation permissions, such as receipt confirmation, transfer-out confirmation, or transit address maintenance.
- A transfer forecast exists and the order is in a workable status, such as 【Pending Receipt】【Received】 or 【Partially Transferred Out】.
- The warehouse has prepared a temporary storage location and can identify the arrival by bill of lading, container number, mark, or attachments.
2.1 Enter the Transshipment Order List
Menu path: GWMS-Transshipment-Transshipment Order
After entering the page, search by 【Transfer Order Number】【Customer】【Warehouse】【Status】【Bill of Lading/Warehouse Tracking Number】【Container Number】【Destination Warehouse/Receiver】 or 【Creation Time】. Use 【Number of Cartons (Forecast/Actual Received/Transferred Out)】 to decide whether the order needs receiving or further transfer-out.
Legend:
- 【Transshipment-Transshipment Order】: enter the transfer order list.
- Search area: search by status, customer, warehouse, first-leg information, or destination.
- Action area: add, delete, or export transfer orders.
- Transfer order list: view status and carton quantities.
- Operation column: view, receive, manage addresses, confirm transfer-out, cancel, or delete according to the current status.
2.2 Confirm Receiving
When the order is in 【Pending Receipt】 status, click 【Receive】 in the operation column. Enter the actual received quantity and temporary storage location according to the physical arrival.
Legend:
- Received quantity: enter actual received cartons and pallets.
- Temporary storage location: select where the goods are temporarily placed.
- Arrival information: add arrival time and warehouse receiving remarks.
- 【Confirm】【Cancel】: save the receiving result, or close the window without saving.
After saving, the order changes from 【Pending Receipt】 to 【Received】. The list updates the carton quantity as “forecast / actual received / transferred out”.
2.3 Manage Transit Addresses
When the order is in 【Pending Receipt】【Received】 or 【Partially Transferred Out】 status, click 【Transit Address】 in the operation column. If the forecast destination is incomplete, the address needs to be corrected, or a new destination is needed before transfer-out, maintain it here.
Legend:
- Order information: check the transfer order number and current status.
- 【Add New Transit Address】: add another destination to the same order.
- Core destination information: maintain destination warehouse/receiver, destination warehouse code/FC Code, FBA Shipment ID, and Reference ID.
- More receiving information: maintain contact, phone, address, delivery carrier, delivery method, and delivery tracking number.
- 【Confirm】【Cancel】: save address details, or close the window without saving.
A destination with transferred cartons is locked and shows the transferred quantity. To adjust the remaining goods, add a new destination or edit a destination that has not been transferred out.
2.4 Confirm Transfer-Out
When the order is in 【Received】 or 【Partially Transferred Out】 status, click 【Transfer Out Confirmation】 in the operation column. This action should be performed when goods are handed to a carrier or moved out toward the destination warehouse.
Legend:
- Carton overview: check actual received, transferred, and available cartons.
- Destination cards: select the destination for this transfer-out.
- Transfer quantity: enter the cartons to transfer out this time. It cannot exceed the available quantity.
- Destination information: verify the selected destination's FBA information, contact, and address.
- 【Manage Addresses】: maintain or add destination details before transfer-out.
2.5 Add Delivery and Document Details
The lower part of the transfer-out confirmation window is used for delivery details and POD/signature proof attachment. POD can be a carrier receipt, destination warehouse signature proof, handover document, or any file that proves delivery or handover.
Legend:
- Transfer quantity: confirm the cartons transferred this time and the quantity after submission.
- Destination information: check the selected transfer destination again.
- Delivery information: enter delivery carrier, delivery method, and delivery tracking number.
- POD/signature document attachment: upload signature proof or handover documents returned by the carrier.
- Transfer note: record handover, appointment, or exception notes.
- 【Confirm】【Cancel】: save the transfer-out result, or close the window without saving.
After saving:
- If transferred cartons are less than actual received cartons, the order becomes 【Partially Transferred Out】.
- If transferred cartons equal actual received cartons, the order becomes 【Completed】.
- The list updates 【Number of Cartons (Forecast/Actual Received/Transferred Out)】.
3. Additional Notes
3.1 Role Boundaries
- Users with order creation permission create the transfer forecast and enter first-leg information, forecasted cartons, destinations, and attachments.
- Warehouse receiving staff confirm actual received cartons, pallets, and temporary storage location.
- Customer service or warehouse dispatch staff maintain destination, contact, address, and delivery details before transfer-out.
- Warehouse outbound staff confirm transfer-out quantity and upload POD/signature proof.
The visible buttons depend on account permissions and the current order status.
3.2 Status Flow
The common status flow is: 【Draft】->【Pending Receipt】->【Received】->【Partially Transferred Out】->【Completed】.
【Pending Receipt】 means the warehouse can receive the goods. 【Received】 means the goods are temporarily stored. 【Partially Transferred Out】 means part of the received cartons has been transferred out. 【Completed】 means all received cartons have been transferred out.
3.3 Quantity Rules
【Total number of forecasted boxes】 comes from the forecast. 【Received Number of Cartons】 is entered during receipt confirmation. 【Transferred Out】 is accumulated by transfer-out confirmations.
The transfer-out quantity must not exceed the available quantity. Multiple destinations are not allocated during forecast creation. Instead, warehouse staff select a destination and enter the quantity during each actual transfer-out.
3.4 Inventory Impact
Transit transfer does not create inventory, does not go through putaway, and does not participate in picking, checking, loading, or normal outbound order flows. The temporary storage location is only used for short-term warehouse positioning.
3.5 Attachment and POD Are Different
Order attachments help identify the incoming goods, such as bill of lading, packing list, appointment information, or transfer documents. POD/signature proof attachments prove transfer-out handover or delivery, such as carrier receipts, destination warehouse signature proof, or handover forms.
4. FAQ
Q1: Why do I not see the 【Receive】 button?
A1: Check whether the order is in 【Pending Receipt】 status and whether your account has receiving permission. Draft, Received, Partially Transferred Out, or Completed orders do not show the same receiving action.
Q2: What should I do if there is no destination during transfer-out confirmation?
A2: Click 【Manage Addresses】 or 【Transit Address】 in the operation column, add at least one destination that has not been transferred out, and then return to transfer-out confirmation.
Q3: Why is a transferred destination locked?
A3: The destination already has transfer-out records. Editing it would change the historical handover context. To adjust remaining cartons, add a new destination or edit a destination that has not been transferred out.
Q4: Why cannot I submit the transfer-out quantity?
A4: The transfer-out quantity must be greater than 0 and cannot exceed the available quantity. Check the actual received, transferred, and available cartons in the transfer-out window.
Q5: What if the actual received carton quantity was entered incorrectly?
A5: Stop transfer-out first and ask a supervisor or authorized administrator to decide how to handle the exception. This page is designed for lightweight receiving and transfer-out execution; changing received quantity after transfer-out is not recommended.
Q6: What should be uploaded as POD/signature proof?
A6: Upload carrier receipt, destination warehouse signature proof, handover form, delivery completion screenshot, or another document that proves the goods were handed over or delivered.
