Serial Number Management
Last updated: 2026-08-12
1. Scenario
Serial Number Management traces SKUs configured for serial-number control. An inbound entry records the inbound order, operator, and entry time. After the serial number is scanned during outbound operations, the same record receives the outbound order, operator, and outbound time.
Use this page to trace one serial number, reconcile records by SKU/GSKU or order, and export history for inventory checks, after-sales support, or exception investigation. The page does not generate serial numbers for ordinary SKUs.
2. Steps
Prerequisites
- Your account can access
GWMS-Outbound Management-Serial Number Records. - The SKU is configured as 【Outbound Required】 or 【Inbound and Outbound Required】 for serial-number management.
- Your account has Export permission when an export is needed.
2.1 Search records
- Go to
GWMS-Outbound Management-Serial Number Records. - Set filters as needed: 【Serial Number】, 【SKU Code】, 【GSKU Code】, 【Inbound Order No.】, 【Inbound Operator】, 【Inbound Time】, 【Outbound Order No.】, 【Outbound Operator】, 【Outbound Status】, and 【Outbound Time】.
- Click 【Search】.
The list displays the serial number, SKU, GSKU, inbound order/operator/time, and outbound order/operator/time. Outbound Status supports Not Shipped and Shipped. A record that has not shipped has blank outbound fields.
Use the settings control in the filter area to choose filters and the settings control above the list to choose columns. Reset clears both date ranges and other filters.
2.2 Trace one serial number
Enter the complete Serial Number and search. Check its SKU/GSKU and inbound details. If it has shipped, also check its outbound order, operator, and time. One row shows whether the item has shipped and the orders associated with it.
2.3 Export records
Select rows when only specific records are needed, then click 【Export】. With selected rows, GWMS exports only those rows. Without a selection, it exports records matching the current filters.
3. Notes
3.1 SKU configuration
- 【Not Required】: no serial number in inbound or outbound operations.
- 【Outbound Required】: scan serial numbers during outbound operations.
- 【Inbound and Outbound Required】: enter serial numbers inbound and associate them again outbound.
Changing this setting after stock has entered an operational flow may leave some inventory with serial numbers and some without them.
3.2 How records are created
Inbound receipt or supplemental entry creates the inbound side of a record. Outbound sorting or review scanning fills its outbound side. The record page intentionally provides search and export only; correct missing data in the related inbound or outbound operation.
3.3 Quantity and uniqueness
The number of serial numbers must match the item quantity being processed, and the same serial number cannot be occupied twice. Resolve missing, duplicate, or wrong-SKU scans in the related operation.
4. FAQ
Q1: Why can't I find a SKU on this page?
A1: Confirm that serial-number management is enabled and that an inbound entry or outbound scan has occurred. Configuration alone does not create a record.
Q2: Why does a record contain inbound information only?
A2: The serial number has not completed outbound scanning and is still Not Shipped.
Q3: Why does outbound processing report insufficient serial numbers?
A3: Scan one serial number for each item and check for missed, duplicate, or wrong-SKU scans.
Q4: Why did Export produce only a few rows?
A4: Selected rows limit the export. Clear the selection to export all records matching the current filters.
