Process Pending Return Charges

1. When to use this page

Use Pending Charge to record the billing decision after a customer-submitted return instruction has been completed. The warehouse completes the approved instruction before selecting No Charge or entering an amount and currency.

2. Instructions

Prerequisites

  1. Your account has the GWMS-Return Management-Pending Charge menu and decision permissions.
  2. The customer instruction is complete and the related warehouse reply has passed review.
  3. You have a valid quotation or internal approval before entering a charge.

2.1 Find pending charge items

  1. Expand ① Return Management and click Pending Charge.
  2. Select ② Pending, Processed, or All.
  3. In ③, verify the return order, tracking number, customer, customer instruction, and completion time.
  4. Use ④ Refresh to reload the list. For a pending row, click Submit Decision.

2.2 Submit a charge decision

  1. Locate the item under Pending and click Submit Decision.
  2. Verify the customer instruction and the actual work completed.
  3. Select No Charge when no fee is required, or Charge when a fee applies.
  4. For Charge, enter an amount greater than 0 and select USD, CNY, or EUR.
  5. Enter an optional reason or note of up to 500 characters, then submit.

System response: the row moves to Processed and displays either no charge or the amount and currency. The same item cannot be submitted twice.

3. Notes

  • A pending charge item is created only after a customer instruction or explicitly delegated disposition is complete and the related review is finished. Without explicit delegation, the warehouse does not decide the disposition.
  • An unassigned return must be claimed by a customer before that customer submits an instruction, so it does not go directly into the standard customer-instruction charge flow.
  • This page records the decision and audit basis. It does not by itself confirm that the customer's balance has been charged. Verify the final billing result under GWMS-Business Billing-Business Journal.
  • Make sure the currency matches the quotation before submitting.
  • All displays both pending and processed rows; it does not change their state.

4. FAQ

Q1: Why is there no pending charge item after the instruction was completed?

A1: Check whether the warehouse reply was submitted and approved. An item is generated only after the system confirms that the instruction and its review are complete.

Q2: Why is the fee not immediately visible in Business Journal?

A2: Pending Charge records a billing decision. Actual posting depends on the billing workflow and quotation configuration. Check Business Journal for the final result.

Q3: Why can I not submit the decision again?

A3: Each item can be processed once. Check the submitted result under Processed and follow your internal approval process if a correction is required.

Q4: Can I enter a charge amount of 0?

A4: No. Select No Charge when no fee applies. A Charge decision requires an amount greater than 0 and a currency.
