How to Handle Inbound Exceptions

Q: Where should I start when an inbound exception happens?

A: First identify the stage where the exception occurs:

  • Cannot find order or label before receiving: check the scan receiving entry notes in the Receiving guide.
  • Quantity, box count, damage, or wrong item exception during receiving: save actual quantity and exception information first, then review Receiving Records.
  • Cannot find receiving transaction or box before putaway: check the scan putaway entry notes in the Putaway guide.
  • Location, box number, or SKU destination issue during putaway: check Putaway Records.
  • Remaining goods will not arrive or the order must be closed: follow Inbound Exception Status Handling.

Q: What should I do if actual received quantity differs from forecast quantity?

A: Receive the actual counted quantity and record exception quantity and exception information. After saving, go to GWMS-Inbound Management-Receiving Records to confirm the receiving transaction, exception quantity, reason, and operator.

If the customer confirms that remaining goods will not arrive, but received goods still need putaway, an authorized user can use 【Mark Fully Received】 on the inbound forecast list.

Q: What should I do for damaged goods, wrong shipment, or shortage?

A: Keep on-site evidence first, then record actual received quantity and exception notes in GWMS. Recommended information includes:

  • Inbound order number
  • Box number or box label number
  • SKU code
  • Exception quantity
  • Exception type and remarks
  • Receiving time and operator

Severe exceptions should be reported to the supervisor, customer service, or customer according to warehouse rules.

Q: What if the inbound order cannot continue?

A: If the order will no longer be received or put away, an authorized user can use 【Force Close】. After force close, later operations cannot continue.

If only the remaining unreceived goods will no longer be waited for, but received goods still need putaway, use 【Mark Fully Received】 instead of Force Close.

Q: What should I check after exception handling?

A: Check:

  • GWMS-Inbound Management-Inbound Forecast: order status, received quantity, and exception quantity.
  • GWMS-Inbound Management-Receiving Records: exception receiving transaction.
  • GWMS-Inbound Management-Putaway Records: whether received goods have been put away.
  • Inventory Management or Inventory Records: final stock accuracy.
