Manage Customer Profiles in GWMS

1. Scenario
Customer List is used to maintain customer master data. Warehouse or administrator users can query customers, add customer profiles, change customer status, batch update customer tags or levels, and jump from a customer profile to the business quotation page for further business setup.
Applicable scenarios:
- Create a new customer profile before go-live.
- Update customer contact or address information.
- Disable or re-enable a customer.
- Batch update customer tags or customer levels.
- Continue from a customer profile to business quotation setup.
Not applicable:
- Customer-side balance query.
- Customer-side top-up submission.
- Recharge audit.
2. Operation Guide
Prerequisites
Please confirm the following before you start:
- Your account can open
GWMS-Customer Management-Customer List. - To add a customer, prepare the customer name, customer code, login account, country or city, contact details, and other basic information.
- To continue configuring customer business, make sure the customer profile already exists.
- To batch update customer tag or level, confirm that your account has batch operation permission.
2.1 Open Customer List and Search Customers
Menu path: GWMS-Customer Management-Customer List
- Sign in to GWMS.
- Expand
Customer Management. - Click
Customer List.
The page supports filters such as Customer Code, Customer Name, Company Name, City, Customer Phone, Salesperson, Customer Tag, and Status.
The list displays main fields including:
Customer CodeCustomer NameCustomer PhoneCustomer LevelCustomer TagCompany NameSalespersonCustomer EmailCustomer AccountIOSS EU Tax No.State/Province,Country,City,Detailed Address,Postal CodeProduct ReviewCustomer Status
If you only need to find one customer, search by Customer Code or Customer Name first.
2.2 Add a Customer Profile
Click Add to open the Add Customer Profile dialog.
The dialog includes these visible fields:
- Required:
Customer Name,Customer Code,Customer Account. - Address:
Company Name,Address Line 1,Address Line 2,Country,State/Province,City,Postal Code. - Contact:
Customer Phone,Customer Email. - Business:
Salesperson,Customer Level,Customer Tag. - Other:
IOSS EU Tax No.,Product Review,Customer Status.
When adding a customer, Salesperson defaults to the current login account. If the field needs to be changed, select from available users according to page permission.
Click Confirm to save.
After the customer is saved, GWMS prompts Operation successful, closes the dialog, and refreshes the list.
If Customer Account already exists, GWMS prompts that the login account already exists. If Customer Code is empty or already exists, GWMS prompts that the customer code is empty or already exists. Correct the field and submit again.
2.3 Batch Update Customer Tag or Level
To update multiple customers at once, select the customers first, then click Batch Settings.
The menu provides:
Batch Update Customer TagBatch Update Customer Level
You must select customers before opening a batch action. If no customer is selected, GWMS prompts Please select customers to operate.
The batch dialog shows different fields based on the selected action:
Batch Update Customer Tag: the dialog field isCustomer Tag.Batch Update Customer Level: the dialog field isCustomer Level.
Select the target value and click Confirm. If no value is selected, GWMS prompts Please select one option. After saving, GWMS prompts Operation successful, closes the dialog, and refreshes the list.
2.4 Modify or Disable a Customer
In the customer row operation column, common actions include:
Edit: update customer profile information.Disable: disable the current customer.More: expand additional business setup actions.
If the customer is already disabled, the action may change to an enable action. Use the button text shown on the page as the current reference.
When you click Disable, GWMS opens a Disable Customer confirmation dialog and prompts Confirm to disable this customer?. After you click Confirm, GWMS prompts Disabled successfully, and the customer status changes to disabled.
A disabled customer can be enabled again from the same operation column. When enabling, GWMS opens an Enable Customer confirmation dialog and prompts Confirm to enable this customer?. After confirmation, GWMS prompts Enabled successfully, and the customer status returns to normal.
2.5 Add New Business and Quotation for a Customer
In the customer row, click More, then select Add New Business and Quotation.
GWMS navigates to GWMS-Quotation and Business-Business Quotation and automatically carries the current customer context. You do not need to select the customer again on the business quotation page. Continue configuring the business name, applicable warehouse, effective date, and charge rules for this customer.
If you only need to maintain customer master data, you can stop here. If you need to configure business rules, continue with the Business Quotation documentation.
3. Additional Notes
3.1 Customer Code and Customer Account
These two fields are important:
Customer Code: commonly used for system identification and searching.Customer Account: commonly used for customer login or customer-side identity binding.
Confirm the naming rule before creation to avoid later batch corrections.
3.2 Product Review Switch
The Add dialog includes a Product Review switch. When enabled, products or SKUs added by the customer may need to pass review before they can be used. Whether to enable it depends on the warehouse's management policy.
3.3 Customer List and Business Quotation
Customer List is used for customer master data. Business Quotation is used to configure the customer's business and charge rules.
Common sequence:
- Create the customer in
GWMS-Customer Management-Customer List. - From the customer row, choose
More-Add New Business and Quotation. - Continue configuring warehouse scope, effective date, and charge rules on the business quotation page.
4. FAQ
Q1: What are the minimum fields required to add a customer?
A1: The current page requires at least Customer Name, Customer Code, and Customer Account. We recommend also completing address, contact, and grouping information to avoid missing data during later business setup.
Q2: Why did the batch update not take effect?
A2: Confirm that customers were selected first, then check whether you chose Batch Update Customer Tag or Batch Update Customer Level. If no customer is selected, the batch update cannot be completed.
Q3: What happens after a customer is disabled?
A3: The customer status changes to disabled, and later customer login or business flow may be affected. Before disabling a customer, confirm whether unfinished business exists. If a customer is disabled by mistake, you can enable it again from the same operation column.
Q4: Why does Add New Business and Quotation open the Business Quotation page?
A4: This is the normal path. Customer List is the master data entry point. Business and charge configuration are completed on GWMS-Quotation and Business-Business Quotation, and GWMS carries the current customer context automatically.
