Use GWMS to Manage Predefined Quotation Sheets

1. Scenario

Definition: Predefined Quotation Sheet is the list page where the warehouse reviews saved quotation-sheet templates and performs follow-up actions on them.

Purpose: After a predefined quotation has been maintained, the warehouse can use this page to review the saved quotation sheet, export it, reopen it for editing, delete templates that are no longer needed, or apply it to one or more customer businesses.

Applicable scenarios:

  • Review which predefined quotation sheets already exist in the system.
  • Export one predefined quotation sheet for offline review or internal sharing.
  • Reopen one predefined quotation sheet and continue editing its quotation content.
  • Delete one predefined quotation sheet that is no longer needed as a reusable template.
  • Apply one predefined quotation sheet to selected customer businesses and generate formal quotation records.

2. Operation Guide

Prerequisites

Please confirm the following before you start:

  1. Your account can open GWMS-Quotation and Business-Predefined Quotation Form.
  2. The predefined quotation sheet you want to use already exists in the list.
  3. If you plan to apply a quotation sheet to customers, confirm the effective date and the target customer businesses first.

2.1 Open the Predefined Quotation Sheet page

Menu path: GWMS-Quotation and Business-Predefined Quotation Form

  1. Sign in to GWMS.
  2. In the left navigation, expand Quotation and Business.
  3. Click Predefined Quotation Form.
  4. The page opens with search fields such as Short Name, Description, and Effective Date, plus the quotation sheet list below.

System result:

  • The list displays fields such as ID, Short Name, Business Type, Description, and Effective Date.
  • Each row provides operation icons for actions such as view, export, edit, delete, and more actions.

2.2 View one predefined quotation sheet

  1. Find the target quotation sheet in the list.
  2. Click the View action in the Operation column.
  3. Review the quotation-sheet details that open for the selected record.

System result:

  • The system opens the selected quotation-sheet details in view mode.
  • You can review the saved quotation information before exporting, editing, or applying it to customers.

2.3 Export one predefined quotation sheet

  1. Find the target quotation sheet in the list.
  2. Click the Export to Excel action in the Operation column.
  3. Wait for the browser to start the file download.

System result:

  • The system exports the current quotation-sheet record.
  • The exported file can be used for offline review or circulation.

2.4 Reopen one predefined quotation sheet for editing

  1. Find the target quotation sheet in the list.
  2. Click the Edit action in the Operation column.
  3. The system redirects you to the Predefined Quotation page for the selected quotation sheet.
  4. Continue editing the quotation content there and save the page when the update is complete.

System result:

  • The current row is opened in editable quotation maintenance mode.
  • You can continue adjusting the quotation header, business selections, charge items, discounts, or node details on the redirected page.

2.5 Delete one predefined quotation sheet

  1. Find the predefined quotation sheet that is no longer needed.
  2. Click the Delete action in the Operation column.
  3. GWMS opens a Confirm Delete prompt. The prompt explains that quotations already applied to specific businesses remain effective after deleting the predefined quotation sheet.
  4. Click Confirm if the template should be removed.

System result:

  • GWMS shows Delete successfully after the deletion succeeds.
  • The predefined quotation sheet is removed from the list.
  • Customer quotations that were already generated from this template remain valid.

2.6 Apply one predefined quotation sheet to customer businesses

  1. Find the target quotation sheet in the list.
  2. Open the More menu in the Operation column.
  3. Click Apply to Customer.
  4. In the dialog, review the quotation Short Name.
  5. Select Customer Level, Customer Tags, or Filter Customer Tags if needed.
  6. After the customer filter changes, GWMS refreshes the customer-business list below.
  7. Enter the required Effective Date.
  8. Select the target customer businesses in the list. You can also use Select All or Invert Selection.
  9. Click Confirm.

System result:

  • If no customer business is selected, GWMS asks you to select customers to apply.
  • GWMS shows Apply successfully after the operation succeeds.
  • The selected predefined quotation sheet is copied to the chosen customer businesses as formal customer quotation records.
  • The new customer quotation records use the effective date confirmed in this dialog.
  • If the template has no quotation detail matching the selected customer business type, GWMS stops the application and shows a matching-detail error.

3. Additional Notes

3.1 What this page manages

  • Predefined Quotation: Maintains the reusable quotation template content itself.
  • Predefined Quotation Form: Manages the saved quotation-sheet records generated from predefined quotation maintenance.
  • Apply to Customer: Uses one predefined quotation sheet to generate customer-facing quotation records for selected businesses.

3.2 Common list actions

  • View: Review the saved quotation-sheet details before making further decisions.
  • Export to Excel: Download the current quotation sheet.
  • Edit: Reopen the quotation sheet on the Predefined Quotation page.
  • Delete: Remove a template that is no longer needed. Quotations already generated from it remain valid.
  • Apply to Customer: Select customer businesses and effective date, then generate customer quotation records in batch.

3.3 Notes for Apply to Customer

  • Confirm the effective date before submission.
  • Select only the customer businesses that should receive this quotation sheet.
  • If the customer-business list is empty, choose or adjust Customer Level, Customer Tags, or Filter Customer Tags to refresh the list.
  • If one quotation sheet should not be used for all customers, adjust the target selection in the dialog instead of applying it blindly.
  • The predefined quotation sheet must contain quotation details for the selected customer business type.

4. FAQ

Q1: What is the difference between Predefined Quotation and Predefined Quotation Form?

A1: Predefined Quotation is the maintenance page for the quotation template tree and charge content. Predefined Quotation Form is the list page where you manage the saved quotation-sheet records and perform actions such as view, export, edit, and apply to customers.

Q2: Why does Edit open another page instead of changing the list row directly?

A2: The list page is only the management entry for saved quotation sheets. When you need to change quotation content, the system redirects you to the Predefined Quotation page, where the editable quotation structure is available.

Q3: When should I use Apply to Customer?

A3: Use it when one predefined quotation sheet should become an effective quotation for one or more customer businesses. In that dialog, confirm the effective date and target businesses before clicking Confirm.

Q4: Can I apply the same quotation sheet to multiple customer businesses at once?

A4: Yes. The Apply to Customer dialog supports selecting multiple customer businesses in one submission, and you can also use Select All or Invert Selection to adjust the batch scope.

Q5: Why is the customer-business list empty in the Apply to Customer dialog?

A5: Select or adjust Customer Level, Customer Tags, or Filter Customer Tags first so GWMS can refresh the customer-business list. If it is still empty, there are no available customer businesses under the current filters.

Q6: Why does Apply to Customer fail with a matching-detail error?

A6: The selected predefined quotation sheet does not contain quotation details for the target customer business type. Reopen the template in Predefined Quotation, confirm the target business and charge items are selected, save it, and apply it again.
