Export Inbound Order Data in GWMS ​

1. Scenario ​

Inbound order export is used to export inbound forecast data from GWMS to Excel. GWMS now exports a fixed multi-sheet template so warehouse, customer service, and operations teams can review order header data, carton data, and GSKU/SKU details.

The export file includes:

  • main: inbound order main information.
  • box: carton-level details.
  • sku: GSKU/SKU-level details.

Use this export for inbound reconciliation, customer communication, exception review, and internal reporting. Dimensions, volume, and weight in the box and SKU sheets follow the measurement unit configured on the inbound order's warehouse.

2. Steps ​

Prerequisites ​

  • Your account can access GWMS-Inbound Management-Inbound Forecast.
  • Your account has inbound order export permission.
  • You have already filtered by customer, warehouse, status, time, or inbound order number if needed.

2.1 Filter the export range ​

Go to GWMS-Inbound Management-Inbound Forecast.

You can filter inbound orders by:

  • 【Inbound Order No.】
  • 【SKU】: accepts SKU or GSKU.
  • 【Customer】
  • 【Warehouse】
  • 【Completion Status】: 【Ongoing】 or 【Completed】.
  • 【Tracking No.】
  • 【Created By】
  • 【Expected Arrival Date】: date-time range.

To export specific inbound orders, select the target rows first.

To export all results under the current filters, do not select rows.

2.2 Export ​

Click 【Export】.

GWMS applies these rules:

  • If rows are selected, GWMS exports the selected inbound orders.
  • If no row is selected, GWMS asks whether to export all inbound order data. After confirmation, GWMS exports all records that match the current filters.

Export is not limited to the current page. Check filters before confirming a large export.

2.3 Download and review the Excel file ​

After confirmation, the browser downloads an Excel file. The file name is usually inboundOrder_timestamp.xlsx.

The export uses fixed template fields:

main sheet ​

Common fields include:

  • Inbound order no.
  • Business
  • Customer and customer code
  • Warehouse and warehouse code
  • Status
  • Transport type and arrival method
  • Expected arrival time and created time
  • Tracking no.
  • Forecast boxes and received boxes
  • Forecast SKU types and received SKU types
  • Forecast quantity and received quantity
  • First receiving time, first putaway time, and last putaway time

Common fields include:

  • Inbound order number
  • Box number
  • Carton dimensions
  • Volume
  • Weight
  • SKU type count

Use this sheet to check carton size, carton weight, box number range, and receiving differences.

sku sheet ​

Common fields include:

  • Inbound order number
  • Box number
  • GSKU
  • Product name
  • Product dimensions
  • Product volume
  • Product weight
  • Expected quantity
  • Received quantity

Use this sheet to check item details, packing quantity, forecast quantity, and received quantity.

3. Notes ​

3.1 Filter before export ​

Before exporting, filter by:

  • Customer
  • Warehouse
  • Inbound order status
  • Completion status
  • Inbound order number
  • SKU or GSKU
  • Tracking number
  • Expected arrival date

This avoids exporting too much data and improves review efficiency.

3.2 Use the right sheet ​

  • Customer communication: use main and sku.
  • Receiving review: use box and sku.
  • Billing or statistics: use quantity, status, customer, and warehouse fields in main.
  • Exception review: compare with GWMS-Inbound Management-Receiving Records and GWMS-Inbound Management-Putaway Records.

3.3 Check warehouse measurement units ​

Dimensions, volume, and weight in the box and SKU sheets follow the warehouse measurement unit:

  • Metric warehouse: cm, kg, and cm³.
  • Imperial warehouse: in, lb, and in³.
  • If no measurement unit is configured for the warehouse, GWMS exports in imperial units.

If one export contains orders from multiple warehouses, read each row according to that order's warehouse unit.

4. FAQ ​

Q1: Why is there no field selection dialog after I click 【Export】? ​

A1: The current version uses a fixed export template. The file includes main, box, and sku sheets.

Q2: Does export include only the current page? ​

A2: No. If rows are selected, GWMS exports those rows. If no row is selected, GWMS exports all records that match the current filters.

Q3: Why are dimensions or weights different from the values entered on the page? ​

A3: GWMS converts dimensions and weights according to the warehouse measurement unit. Metric warehouses export in cm/kg; imperial warehouses export in in/lb.

Q4: Why does GWMS say there is no data to export? ​

A4: There is no inbound order under the current filters or selected rows. Adjust the filters, or confirm that your account can view the selected orders.

Q5: What if I need receiving exception fields? ​

A5: Inbound order export focuses on forecast, carton, and GSKU/SKU data. For receiving exception details, use GWMS-Inbound Management-Receiving Records.
