Add Packaging Material in GWMS

1. Scenario
Definition: Packaging Material Management is used to maintain packaging materials used in the warehouse, including packaging material barcode, dimensions, remaining quantity, and unit price.
Purpose: After a packaging material is created, warehouse staff can scan the packaging material barcode during outbound sorting to confirm the material. GWMS deducts the remaining quantity based on the maintained stock and records the packaging fee based on the unit price.
Use this guide when:
- The warehouse starts using new cartons, bags, bubble mailers, or other packaging materials and needs to create records before operation.
- Secondary sorting or one-order-one-item sorting requires packaging material confirmation by barcode scan.
- The warehouse needs to maintain packaging dimensions and unit prices in advance for later operation and fee records.
2. Steps
Prerequisites
Please confirm the following before you start:
- Your account can access
GWMS-Outbound Management-Packaging Material Management. - You have confirmed which warehouse uses this packaging material.
- The packaging material barcode, length, width, height, and billing unit price are ready.
- If the barcode will be scanned on the sorting page later, confirm that it can be read by the on-site scanner.
2.1 Open the Packaging Material Management page
Menu path: GWMS-Outbound Management-Packaging Material Management
- Go to
GWMS-Outbound Management-Packaging Material Management. - The list displays existing packaging materials, including 【Warehouse Code】, 【Barcode】, 【Remaining Quantity】, 【Length/Width/Height】, 【Unit Price】, 【Remarks】, and 【Created Time】.
Notes:
- When the list is empty, the page displays 【No Data】.
- If no row is selected, the 【Edit】 and 【Delete】 buttons remain disabled.
2.2 Open the Add dialog and fill in basic information
- Click 【Add】 at the top of the page.
- GWMS opens the 【Add Packaging Material】 dialog.
- Select the warehouse where the packaging material is actually used in 【Warehouse】.
- Enter the barcode to be scanned later in 【Packaging Material Barcode】.
System feedback:
- 【Warehouse】, 【Length (cm)】, 【Width (cm)】, and 【Height (cm)】 are required.
- Under the same warehouse, the packaging material barcode cannot be duplicated. If a duplicate barcode is saved, GWMS prompts 【Barcode already exists】.
2.3 Fill in dimensions, quantity, and price
- Enter the outer dimensions of the packaging material in 【Length (cm)】, 【Width (cm)】, and 【Height (cm)】.
- Enter the packaging material fee to be charged to the customer in 【Unit Price】. If no fee is charged, maintain it according to your actual management rules.
- Enter the current available stock in 【Remaining Quantity】.
- Enter the usage scenario or identification notes in 【Remarks】 when needed.
Notes:
- Dimensions are used to identify packaging specifications and help the warehouse distinguish different packaging materials.
- Remaining quantity is deducted when the packaging material is scanned and confirmed during later sorting. Enter the current real stock whenever possible.
- If the stock is too low, this packaging material may not be confirmed normally during later sorting scans.
2.4 Save and check the result
- After confirming the information, click 【Confirm】.
- GWMS prompts 【Operation successful】.
- After returning to the list, the new packaging material is displayed in the Packaging Material Management table.
Result:
- The new packaging material displays its warehouse, barcode, remaining quantity, dimensions, unit price, and remarks in the list.
- The sorting page can identify this packaging material by 【Warehouse + Packaging Material Barcode】.
- After a successful sorting scan, GWMS deducts the packaging material quantity and records the corresponding packaging fee.
3. Notes
3.1 Why both barcode and warehouse must be maintained
- When scanning packaging material during sorting, GWMS locates the packaging material record by "current warehouse + packaging material barcode".
- If the same barcode is shared by multiple warehouses, maintain a separate record for each warehouse.
- If the wrong warehouse is selected, the barcode may not be recognized on the sorting page even if the barcode itself is correct.
3.2 What unit price and remaining quantity affect
- 【Unit Price】 is used to record packaging fees. It applies when packaging material costs need to be included in the customer bill.
- 【Remaining Quantity】 is used to deduct stock during on-site scanning, so the warehouse can see how many pieces remain available.
- Enter the initial quantity when creating the record to avoid discovering insufficient quantity during later sorting scans.
3.3 Common maintenance actions in the list
- If an existing record contains incorrect information, click 【Edit】 in the list to adjust dimensions, unit price, quantity, or remarks.
- If a packaging material was created by mistake, click 【Delete】. GWMS opens a confirmation dialog and prompts 【Deleted successfully】 after confirmation.
- To search for an existing packaging material, search by 【Barcode】. This is useful when the warehouse needs to quickly check whether the material has already been created.
4. FAQ
Q1: Why does GWMS prompt 【Barcode already exists】 when I save?
A1: The same packaging material barcode already exists under the current warehouse. Search first to confirm whether it has already been created. If it is the same packaging material, edit the existing record instead of creating a duplicate.
Q2: Can I leave remaining quantity empty?
A2: The page allows you to enter remaining quantity. It is recommended to enter the current stock when creating the record. Later, when packaging material is scanned and confirmed during sorting, GWMS deducts stock based on this quantity. If the quantity is too low, the on-site operation may not be able to continue using this packaging material.
Q3: Where is this packaging material used after creation?
A3: It is mainly used for packaging material confirmation during outbound sorting. When the operator scans the packaging material barcode on the sorting page, GWMS matches the record by current warehouse and processes quantity and packaging fee at the same time.
Q4: What should I check before deleting a packaging material?
A4: Confirm that this packaging material is no longer used on site. When deleting, GWMS opens a confirmation dialog saying 【Are you sure you want to delete the data item with packaging material number "... "?】. After confirmation, the record is removed from the list.
