Maintain Predefined Quotation

Predefined Quotation is used to maintain reusable internal quotation templates. The page loads the charge tree by business type. You can keep the required charge items, maintain base prices, discounts, net amounts, surcharges, actual charges, and node descriptions, then save the result as a predefined quotation sheet.

The page opens in Simplified Mode by default. Use Simplified Mode when you only need to maintain common base prices. Switch to Full Mode when you need discounts, net amounts, surcharges, or actual charges.

• Create a new quotation template from the latest GWMS industry service guide.
• Copy an existing predefined quotation sheet and adjust its business scope or prices.
• Quickly maintain base prices for a reusable customer quotation template.
• Maintain discounts, net amounts, surcharges, and node descriptions for complex charge items.

2. Steps

2.1 Open the Predefined Quotation Page

Menu path: GWMS - Quote & Business - Predefined Quotation

1. In the left menu, click Quote & Business.
2. Click Predefined Quotation.
3. In Basic Settings, enter the quotation name and description.
4. In Charging Item Configuration, confirm the business type and price table.

2.2 Select a Base Tree Source

1. Click the service guide name or source tag after Based on.
2. In Basic Tree Source, select a source:
   • Latest service guide: generate the charge tree from the current GWMS industry service guide.
   • Predefined Quotation Sheet: copy an existing saved template and continue editing.
3. If you choose Predefined Quotation Sheet, select a specific quotation sheet before the charge tree can be loaded.

2.3 Maintain Base Prices in Simplified Mode

1. Keep the page in Simplified Mode.
2. Select the business tabs and charge items to keep in this template.
3. Enter prices in the Base Price column.
4. For range-based charge items, maintain each range row separately. For non-range charge items, maintain the current row directly.
5. Add external-facing notes in the Remark column.

When saving, the system validates selected charge items. The base price must be greater than or equal to 0 and can keep up to 2 decimal places.

2.4 Switch to Full Mode for Complex Prices

If the template requires discounts, net amounts, surcharges, or actual charges, click the mode switch at the top-left of the price table and switch to Full Mode.

Full Mode fields:

• Basic Public: base price and unit.
• Discount and Net: discount and net amount for the base charge.
• Surcharge Public: surcharge and unit.
• Discount and Net: discount and net amount for the surcharge.
• Actual Charge: actual charge displayed for the current row.

2.5 Edit a Charge Node

1. Open the charge node that needs to be maintained.
2. In the Edit Node dialog, adjust the category name, price, surcharge, and description.
3. Click Save to save the current node settings.

Saving the node dialog only saves the current node. To submit the full predefined quotation, return to the page and click Save at the bottom.

2.6 Save the Predefined Quotation

1. Review the quotation name, description, business tabs, and charge items.
2. Confirm that prices are maintained for selected charge items.
3. Click Save at the bottom of the page.
4. The system shows a confirmation message with the businesses that will be saved.
5. Click Confirm. The system saves the template and shows a success message.

3. Notes

3.1 Simplified Mode and Full Mode

3.2 Base Tree Source Rules

• Latest service guide is suitable for creating a new template from the current service guide.
• Predefined Quotation Sheet is suitable for copying an old template and making adjustments.
• After selecting Predefined Quotation Sheet, you must select a specific template before the charge tree is loaded.

3.3 Save Validation

• At least one charge item must be selected.
• In Simplified Mode, selected charge items must have a base price greater than or equal to 0, with up to 2 decimal places.
• Saving an individual node is not the same as saving the whole page. The quotation sheet is generated or updated only after you click Save at the bottom.
• Success or failure messages are temporary page feedback. Documentation screenshots should use stable page states instead of transient toast messages.

4. FAQ

Q1: Why does the page open in Simplified Mode by default?

A1: Simplified Mode is the default so templates that only need base prices can be maintained quickly. Switch to Full Mode only when discounts, net amounts, or surcharges are required.

Q2: When should I use Full Mode?

A2: Use Full Mode when the template needs discounts, net amounts, surcharge discounts, surcharge net amounts, or actual charges. If you only need base prices and remarks, Simplified Mode is enough.

Q3: Why is the charge tree empty after I select Predefined Quotation Sheet?

A3: Selecting Predefined Quotation Sheet only changes the source type. You must also select a specific template before the charge tree is loaded.

Q4: What should I do if the base price validation fails?

A4: Check the Base Price values for selected charge items. Each value must be greater than or equal to 0 and can keep up to 2 decimal places.

Q5: Why are my node changes not reflected on the list page?

A5: The node dialog only saves the current node. Return to the Predefined Quotation page and click Save at the bottom to submit the full template.
