Use GWMS to Create and Maintain Business Quotations

1. Scenario
Definition: Business Quotation is the page used to create a formal quotation for one specific customer. In addition to the quotation tree, the page also requires customer information, customer account details, applicable warehouse, and effective date.
Purpose: The warehouse can start from a standard charge tree or an existing template, build a customer-facing quotation quickly, and then adjust charge items, discounts, and node descriptions to match the customer's actual business needs.
Applicable scenarios:
- Create a new formal business quotation for a new customer.
- Copy one existing template from
Predefined Quotationand then fill in the customer and warehouse information. - Start from
Latest service guideand build the customer quotation from scratch.
Not applicable:
- If you only need to maintain reusable internal templates, use Predefined Quotation.
- If you only need to review saved quotation records, use Business Quotation Sheet.
2. Operation Guide
Prerequisites
Please confirm the following before you start:
- Your account can open
GWMS-Quotation and Business-Business Quotation. - You have confirmed which base tree source will be used for this quotation:
Predefined QuotationorLatest service guide. - You have the customer name, login name, applicable warehouse, and effective date ready.
2.1 Open the Business Quotation page
Menu path: GWMS-Quotation and Business-Business Quotation
- Sign in to GWMS.
- In the left navigation, expand
Quotation and Business. - Click
Business Quotation. - After the page opens, the top area shows the
Business Quotationtitle, the base tree source summary, the basic information section, the customer information section, the customer account section, and the quotation tree area.
System result:
- The upper part of the page is used for quotation name, customer details, applicable warehouse, and effective date.
- The lower part shows business tabs and the charge tree, where you can continue selecting charge items and maintaining prices.
2.2 Select the base tree source
Menu path: GWMS-Quotation and Business-Business Quotation
- Review the
Based on xxxsource summary below the page title. - Click the source summary to open the
Base Tree Sourcepanel. - Select the source that matches your scenario:
- Choose
Latest service guideto load the charge tree from the current industry service guide. - Choose
Predefined Quotationto switch to template copy mode and continue by selecting one specific template.
- Choose
- If
Predefined Quotationis selected, choose the template from the dropdown list.
System result:
- In the current page screenshots, the visible base tree sources are
Predefined QuotationandLatest service guide. - After one predefined quotation template is selected, the page loads the quotation content from that template so you can continue filling in customer information.
2.3 Fill in the business, customer, and warehouse information
- In
Basic Information, enterNameandDescription. - In
Customer Information, fill inFullname,Phone,WeChat ID,QQ, andEmail. - In
Customer Account, confirmLogin NameandInitial Password. - Select
Applicable WarehouseandEffective Date. - If this is the first time you generate the quotation header, click
Create Quotation. If the quotation header already exists, the button changes toEdit Quotation.
System result:
- Clicking
Create QuotationorEdit Quotationsaves the current header and customer information first. - After the header is saved, continue maintaining business tabs, charge items, and prices on the same page.
2.4 Select business tabs and charge items
- Switch between business tabs above the charge tree, such as
Drop Shipping,Stock Transfer,Container Deconsolidation and Transfer,Labeling and Relabeling, andReturn Processing. - Use the checkbox before the tab title to control whether one business is included as a whole:
- When selected, the charge items under that business are kept together.
- When cleared, the charge items under that business are removed together.
- After entering one business tab, continue selecting or clearing the specific charge items under that business.
- If only part of the charge items remain selected, the business tab shows a partial-selected state.
System result:
- The description for the current business is shown below the tabs.
- The tab checkbox supports three states: selected, cleared, and partial selected.
2.5 Adjust discounts and node details
- Find the row that needs adjustment in the charge tree.
- If you only need to update the discount, enter the value directly in the
Discountcolumn. - After the value is entered, check whether
NetandActual Chargechange as expected in the same row. - If you need to change the charge item name, price, additional fee, or description, click the blue charge item name to open the
Edit Nodedialog. - Update the dialog fields and click
Save.
System result:
- After the discount is updated, the page refreshes the row result immediately.
Saveinside the dialog only updates the node result on the current page. It does not complete the full page save yet.
2.6 Save the full business quotation
- After the header, business tabs, charge items, and price adjustments are complete, scroll to the bottom of the page.
- Click
Save. - The system opens a confirmation dialog and lists the businesses that will be saved.
- Review the business scope and click
Confirm.
System result:
- The bottom
Savebutton is the action that formally submits the full business quotation. - The confirmation dialog lists the business scope included in this save, such as
Drop ShippingandReturn Processing.
3. Additional Notes
3.1 Base tree sources on the current page
- Latest service guide: Best when you want to build a customer quotation from the current standard charge tree.
- Predefined Quotation: Best when you want to copy one existing template and then adjust the customer information and pricing details.
- The current screenshots do not show the old
Historical quotationsource, so this document only keeps the sources that are visible on the current page.
3.2 Difference between Create Quotation, Edit Quotation, and the bottom Save
Create Quotation: Generates the initial quotation header for the current business quotation.Edit Quotation: Updates the existing quotation header, customer information, applicable warehouse, and effective date.- Bottom
Save: Formally saves the business scope, charge items, discounts, and node adjustments for the full quotation.
3.3 What can be maintained directly on this page
- Business name and description.
- Customer details and customer account information.
- Applicable warehouse and effective date.
- Business tab selection, clear-all, and partial-selected state.
- Charge item selection.
- Discount values entered directly in the list.
- Category name, price, additional fee, and description in
Edit Node.
4. FAQ
Q1: Why can I only see Predefined Quotation and Latest service guide in the base tree source?
A1: Those are the source types shown on the current page screenshots. For the current document, the visible page behavior takes priority over older wording that mentioned other source types.
Q2: What is the difference between Create Quotation and the bottom Save?
A2: Create Quotation or Edit Quotation saves the quotation header and customer information first. The bottom Save button then submits the business tabs, charge items, discounts, and node changes together.
Q3: Why did I click Save in Edit Node, but the full quotation is still not saved?
A3: Save inside Edit Node only updates the node result on the current page. You still need to return to the bottom of the page, click Save, and confirm the submission in the dialog.
Q4: How can I quickly remove one whole business from the quotation?
A4: Click the checkbox before the business tab title. When it is cleared, that business is removed as a whole. If only some items remain selected, the tab shows a partial-selected state.
Q5: Why does the system show a confirmation dialog before saving?
A5: The page supports saving multiple businesses in one submission, so the system lists the current business scope first to help you confirm what will be saved.
