Maintain New Inbound Product Dimensions in GWMS

1. Scenario

New product maintenance is used before receiving when a SKU enters the warehouse for the first time. The warehouse records the measured length, width, height, and weight, and GWMS uses that information for receiving billing, inventory data, and later warehouse records.

This guide is for warehouse receiving users who maintain first-time inbound products. It is also for warehouse supervisors, customer service users, and implementation users who need to query, edit, or export maintenance records from GWMS-Inbound Management-New Product Maintenance.

This page is not used to create customer products, review SKUs, or perform putaway.

2. Steps

Prerequisites

  • Your account can access GWMS-Inbound Management-New Product Maintenance.
  • If you maintain products during receiving, your account also needs receiving permission.
  • The inbound order has been approved and can be received.
  • The warehouse has measured the product dimensions and weight on site.

2.1 Open product maintenance from receiving

Go to GWMS-Inbound Management-Inbound Forecast, click 【Receiving】 on the target order, enter the actual received quantity, and click 【Confirm Receiving】.

If the receiving contains a first-time inbound SKU that has not been maintained, GWMS opens the 【Save Receiving】 dialog and starts with step 1, 【Product Maintenance】.

Maintain actual product dimensions and weight

The dialog shows the product image, product code, SKU, product name, customer-declared dimensions, and customer-declared weight. SKUs that require maintenance are marked with 【New Product Maintenance】.

2.2 Enter measured dimensions and weight

In the 【Product Maintenance】 step:

  • Select the product rows to maintain.
  • Check whether the product information matches the goods on site.
  • Enter length, width, and height under actual dimensions.
  • Enter the actual weight.
  • Switch to 【Imperial】 if you need to enter inch and lb.
  • Click 【Apply】 if the customer-declared values match the measured values.

Use 【All】 in the table header to select rows in bulk. Use 【Apply】 carefully because it copies the customer-declared values into the current row.

After entering the measured values, click 【Next】. GWMS checks whether the selected rows have complete and valid dimensions and weight.

2.3 Handle required maintenance checks

First-time inbound SKUs that have not been maintained must be completed before receiving can continue.

If a required SKU is not selected or its dimensions and weight are incomplete, GWMS asks you to complete new product maintenance first. Return to the 【Product Maintenance】 step and fill in the measured values for the required SKU.

If a selected row is incomplete, GWMS asks you to complete the volume and weight information. Check that length, width, height, and weight are all filled in and are greater than 0.

2.4 Skip non-required product maintenance

If the SKU has already been maintained or the existing product information can be used for this receiving, click 【Skip】.

GWMS asks you to confirm that this receiving will use the existing product information for billing.

After confirmation, GWMS moves to step 2, 【Receiving Information】. If you entered product information but have not saved it, GWMS reminds you that skipping will discard the entered data.

2.5 Query maintenance records

Go to GWMS-Inbound Management-New Product Maintenance to query existing maintenance records.

You can filter records by:

  • 【SKU】
  • 【Customer Name】
  • 【Product Code】
  • 【Product Name】
  • 【Measurement Time】

Click 【Search】 to query records. Click 【Reset】 to clear the filters.

The list shows product name, SKU, product code, dimensions in cm, weight in kg, customer, maintained by, maintenance time, updated by, update time, remarks, and operations. Click 【Export】 when you need to download the current query result as a maintenance ledger.

2.6 Edit a maintenance record

In the operation column, click 【Edit】 to open the edit dialog.

You can edit:

  • Length, width, and height in cm or inch.
  • Weight in kg or lb.
  • Remarks.

GWMS automatically converts metric and imperial values. When you save, GWMS checks that the dimensions and weight are valid positive numbers. After saving succeeds, GWMS shows 【Operation successful】 and refreshes the list.

3. Notes

3.1 Difference between receiving maintenance and the list page

  • 【Product Maintenance】 in the receiving dialog is used to complete actual product dimensions and weight before receiving is saved.
  • GWMS-Inbound Management-New Product Maintenance is used to query, edit, and export existing maintenance records. It is not the receiving entry.

3.2 First-time inbound rule

GWMS checks whether a SKU is entering the current warehouse for the first time. If it is first-time inbound and has no maintained dimensions and weight, receiving cannot continue until maintenance is completed.

If the SKU has already been maintained, GWMS can use the existing product information. If the warehouse finds a dimension or weight change on site, update it in the receiving dialog or on the new product maintenance page.

3.3 Impact on billing, inventory, and later operations

After maintenance is saved, GWMS records the maintainer, maintenance time, dimensions, weight, and remarks, then updates the product information.

Later receiving billing, inventory data, and warehouse operation records use the maintained dimensions and weight. If product maintenance is skipped, this receiving uses the existing product information for billing.

3.4 Units and precision

The list displays dimensions in cm and weight in kg. The edit dialog supports metric and imperial units and converts between cm/inch and kg/lb automatically.

Use the measured on-site values as the final source. If customer-declared values differ from the measured values, enter the measured values and add a remark when needed.

4. FAQ

Q1: Why does GWMS require product maintenance after I click 【Confirm Receiving】?

A1: The receiving contains a first-time inbound SKU that has not been maintained. GWMS needs the actual dimensions and weight before receiving can be saved.

Q2: Why can't I continue after clicking 【Skip】?

A2: A first-time inbound SKU without maintained dimensions and weight cannot be skipped. Select the product marked for new product maintenance, enter length, width, height, and weight, then click 【Next】.

Q3: What is the difference between customer-declared values and actual dimensions?

A3: Customer-declared values come from the product data submitted by the customer. Actual dimensions are measured by the warehouse on site. If they differ, use the measured values.

Q4: Can maintained dimensions and weight be edited later?

A4: Yes. Go to GWMS-Inbound Management-New Product Maintenance, find the record, click 【Edit】, update dimensions, weight, or remarks, and save.

Q5: Why can't I find a record on the new product maintenance page?

A5: Check whether SKU, product code, customer name, or measurement time filters are too narrow. If the SKU has never been maintained, no record appears until maintenance is completed during receiving.
