Manage Business & Quotations

Updated: 2026-10-13

1. Operation Scenarios

Business & Quotations brings quotation drafts, formal quotations and services enabled for each customer into one page. Warehouse operators, support staff and finance teams use it to check pricing, activate drafts and maintain services.

  • Create or edit a draft, then activate it after the prices and scope are confirmed.
  • Expand a customer to review quotations, download Excel files, adjust prices or review operation logs.
  • Expand a customer to review services, associated quotations, service details and enabled status.

For charge items and price editing, see Create and Maintain Business Quotations. For standard templates, see Predefined Quotations. Actual charges must be checked in the journal or invoice pages.

Some new menu, status and tab labels may still appear in Chinese when English is selected. The guide uses their English meanings; the screenshots retain the actual labels.

2. Operation Guide

Prerequisites

  1. Your account can open GWMS-Quotation Management-Business & Quotations.
  2. Tabs and actions require the corresponding viewing, editing, deletion, activation, disable/enable or export permissions.
  3. Before activation, confirm prices, warehouses, customer information and the effective date.

2.1 Open the page and select a tab

  1. Expand Quotation Management and open Business & Quotations.
  2. Select the tab for the records you need.
  3. Enter filters and click Search. Use Reset to clear the conditions.
TabRecordsAvailable filters
Draft QuotationsOne row per draft that has not been activatedCustomer, quotation name, business type, warehouse, description, name, WeChat, QQ, email, effective date
QuotationFormal quotations grouped by customerCustomer, business name, quotation name, business type, warehouse, business status, quotation status, effective date
BusinessEnabled or disabled services grouped by customerCustomer, business name, quotation name, business type, warehouse, business status, effective date

You may enter only the start or end of the effective-date range. A start date includes that date and later dates; an end date includes that date and earlier dates. On Business, the quotation name (Short Name) and date filters match the service's active quotation. On Quotation, business name and status filters match associated services.

Filter Settings and Header Column Settings are saved separately for each tab. Warehouses are displayed by code. The quotation and business tabs show customer summaries first; expand a customer to view details. Customer lists and expanded details have separate pagination.

2.2 Create, edit or delete a draft

  1. Click Add at the top to open the quotation editor. This creates a quotation rather than directly creating a service.
  2. Complete the basic information, customer information, warehouses, charge items and prices. See Business Quotations.
  3. Save before clicking Back. Confirm Unsaved changes will be lost if you go back. Continue? to return to the source tab.
  4. Find the quotation under Draft Quotations. Use Edit to continue editing or View to open read-only details.
  5. To remove an unused draft, click Delete, check the confirmation and confirm. Canceling keeps the record.

Draft rows also offer quotation export, operation logs and business activation. Drafts are excluded from the account's read-only quotation page.

2.3 Activate a draft

  1. Under Draft Quotations, select Business Effective on the confirmed quotation.
  2. In Confirm Activation, select an existing customer or create a new customer and complete the required account information.
  3. Select the applicable warehouses and effective date, then check the business scope.
  4. Click Confirm Activation. If a duplicate-service warning appears, check the existing services before continuing.
  5. After Operation Successful, review the quotation under Quotation and its associated services under Business.

Result: the draft becomes a formal quotation and customer, warehouse and service relationships are created. A quotation with a future date is Pending; activation alone does not make its prices apply today.

2.4 Review and export formal quotations

  1. Select Quotation, enter customer, quotation name, status, warehouse or date filters, and search.
  2. Expand a customer to view the quotations. Summary rows display quotation counts, status counts, business types and warehouses.
  3. Click a quotation name to open details. Review charge items by business type and switch between Simplified Mode and Full Mode.
  4. Select Export Excel on the quotation row. If actions are collapsed, open More.
  5. Select Related Businesses to check the associated business names, types, warehouses, status, current quotation and effective date.

2.5 Adjust prices and review logs

  1. Select Adjust Quotation on an activated quotation. This action can appear even if the quotation is pending or expired; check the displayed status to see whether it is currently used.
  2. Edit the basic settings or charge items. Direct saving is restricted once business transactions exist. Use Adjust Price and Generate New Quotation to change prices, reduce warehouse coverage or change the quotation name.
  3. Choose a new effective date and confirm the impact preview. The date cannot be before today and must be later than the source quotation's date.
  4. After success, the page returns to Business & Quotations-Quotation. Review both the old and new quotations. The original quotation and historical charges remain; services included in the adjustment use the new prices when the new date arrives.
  5. Select Operation Log to review time, action type, operator, batch, result and remarks. Open View on a log entry for its changes.

See Business Quotations for saving restrictions and the adjustment preview.

2.6 Review, edit and add quotations to a service

  1. Select Business, search, then expand a customer.
  2. Check the business name, type, warehouse, status, description and Active Quotation / Effective Date.
  3. Click a business name to open its associated quotations. View or export a quotation from that list. Click an active quotation name to open its details directly.
  4. Select Edit to change the business name or description. Return-processing services also allow the agreed disposition to be maintained. Saving refreshes the list.
  5. Select Add New Quotation to prepare another quotation for that service. The editor carries the service, customer and warehouse. Save within that scope and enter the required effective date; this entry creates a formal quotation directly.
  6. Click Back, confirm, and check the relationship on the business tab.

Add New Quotation is unavailable on disabled services; enable the service first. The top Add button still creates a quotation. To create customer services, activate a draft or apply a predefined quotation.

2.7 Disable, enable and export services

  1. Select Disable on a service and confirm the initial impact message.
  2. The system checks the service. If unfinished documents, stock or service availability may be affected, a second confirmation explains the impact. Continue or cancel after reviewing it.
  3. After Disabled Successfully, the service is disabled and is excluded from new-document selections.
  4. To restore it, select Enable and confirm. After Enabled Successfully, it becomes selectable again.
  5. To export services, set filters on Business and click the top Export button. It includes matching services across all pages and is separate from quotation Excel export.

Disabling does not delete documents or stock or stop existing quotation billing. Storage charges for stock remain associated with the service. Enable it before creating new inbound or outbound documents for it.

2.8 Configure Quotation Content

The quotation editor contains Basic Configuration and Charge Item Configuration. Complete the basic information before maintaining the charge items and prices.

Prerequisites

Confirm the following before you start:

  1. Your account can open GWMS-Quotation Management-Business & Quotations and has permission to create or edit quotations.
  2. You know whether the quotation is for an undecided customer, a new customer, or an existing customer.
  3. You know whether to use the latest service guide or a predefined quotation form as the base tree source.
  4. The business name, customer name, applicable warehouse, and effective date are ready.
  5. If you are adding a quotation from the Business page, confirm that the target business and warehouse are correct.

2.8.1 Open the Business Quotation page

Entry: GWMS-Quotation Management-Business & Quotations, then Add, Edit on a draft, or Adjust Quotation on a formal quotation.

  1. Sign in to GWMS.
  2. Expand Quotation Management and open Business & Quotations.
  3. Click Add, or find an existing quotation and select Edit / Adjust Quotation.
  4. After the page opens, review 01 Basic Configuration, then review 02 Charge Item Configuration.

System result:

  • Basic Configuration shows Business Information, Customer Information, and Effective Information.
  • Customer Information supports Not Sure Yet, Add New Customer, and Existing Customer.
  • Charge Item Configuration shows the base tree source, business tabs, and the price maintenance table.
  • The price table opens in Simplified Mode by default.

admin-editor-overview-en

Legend: 1. Business Name (quotation name); 2. Existing customer and login name; some basic fields are read-only for this activated quotation.

2.8.2 Fill in Basic Configuration

  1. In Business Information, enter Name. Enter Description if you need to record quotation background or remarks.
  2. In Customer Information, select the customer type:
    • Not Sure Yet: record customer contact information first without binding a login account.
    • Add New Customer: enter Login Name, Customer Code, and Initial Password. If Customer Code is not filled in, it can be generated when the quotation becomes effective.
    • Existing Customer: select an existing customer. The page displays that customer's login name and customer code.
  3. Enter Fullname. Fill in phone, WeChat, QQ, and email according to the customer's information.
  4. In Effective Information, select Applicable Warehouse and Effective Date.
  5. Click Save the Above Information.

System result:

  • After the save succeeds, GWMS keeps the current basic configuration.
  • For a new quotation, the button is shown as Save the Above Information. When reopening an existing quotation, the button may be shown as Modify Quotation.
  • For an effective quotation that has already been linked to a customer account, maintain account details from customer management instead of changing them here.

2.8.3 Choose the base tree source

  1. In the Charge Item Configuration title area, review the source summary shown as Based on xxx.
  2. Click the source summary to open the Base Tree Source panel.
  3. Choose the source:
    • Predefined Quotation: select an existing template. GWMS loads charge items from that template.
    • Latest service guide: GWMS loads charge items from the latest service guide.
  4. After the source is selected, the charge item configuration reloads.

System result:

  • When you open the Business Quotation page directly from the menu, the visible sources are Predefined Quotation and Latest service guide.
  • When you add a quotation from the Business page, a historical quotation may be available if the current business already has one. If no historical quotation exists, GWMS loads the latest service guide.
  • The page only shows the charge items that already exist in the selected base. Charge items missed earlier no longer appear automatically; bring them back through the Supplement Source, see 2.8.4.
  • When charge items have already been supplemented or contain unsaved changes and you switch the base tree source again, GWMS prompts: Switching the base source will regenerate the charge item tree. Supplemented charge items and unsaved changes will be lost. Continue?. Click Cancel to keep the current state.

2.8.4 Supplement charge items (Supplement Source)

Applicable scenario: the base quotation only had part of the charge items selected, or whole items were missed. When you re-edit that quotation or create a new quotation based on it, those items are not in the table and need to be brought back before they can take effect.

  1. Click the Based on xxx source summary to open the source panel.
  2. Under Supplement Source in the panel, choose:
    • No Supplement: default. Only the charge items that already exist in the base are shown.
    • Predefined Quotation: select a template. GWMS adds the charge items that are missing from the base and present in that template to the current table.
    • Service Guide: GWMS supplements the charge items missing from the base from the latest industry service guide.
  3. After selecting, GWMS supplements automatically. Select the restored charge items, maintain prices, and save.

System result:

  • Supplementing only adds charge items missing from the base to the table in an unselected state. The selection state and prices of existing charge items are not affected.
  • Supplemented charge items are shown with a light background and carry the price from the source: with Predefined Quotation they carry the price maintained in the template, and with Service Guide they carry the guide's list price. You can still change them afterwards.
  • Supplementing covers all business tabs in the current table, not only the tab currently open.
  • After supplementing succeeds, a Supplemented from xxx tag appears next to the source summary.
  • When the base is the Latest service guide, the charge items are already the full set and the panel does not show Supplement Source.
  • When the base is a predefined quotation form, that template itself is excluded from the Predefined Quotation supplement candidates.
  • When you switch the supplement source again, items supplemented last time but not yet selected are removed, then GWMS supplements again from the new source. Items already selected are kept.
  • When editing an effective quotation, supplementing is still available, but the panel shows: This quotation is already effective. Charge item changes are restricted, and saving after supplementing may be rejected. If saving is rejected, the page shows the reason given by the system.

2.8.5 Maintain base prices in Simplified Mode

  1. Select the business tab covered by this quotation, such as Drop Shipping, Stock Transfer, Container Deconsolidation and Transfer, Labeling and Relabeling, or Return Processing.
  2. Use the checkbox before a business tab to include or exclude that whole business.
  3. In the table, select the charge items that should remain in the quotation.
  4. In Simplified Mode, maintain Base Price.
  5. If a charge item has ranges, enter the base price for each range separately.
  6. Use Remark to record billing rules or customer-specific notes when needed.

System result:

  • Selected charge items are included in this save.
  • Unselected businesses or charge items are not saved as part of the quotation.
  • Simplified Mode shows the common pricing fields and is suitable for quickly entering customer-facing prices.
  • Base price must be greater than or equal to 0 and can keep up to two decimal places. When pasting prices into multiple rows, do not paste more rows than the remaining editable rows in the current business.

2.8.6 Switch to Full Mode for discounts, net amounts, and surcharges

  1. Click the mode switch in the table header and switch to Full Mode.
  2. Review or maintain Basic Public, Discount, Net, Public Surcharge, surcharge discount, surcharge net amount, and Actual Charge.
  3. If you only need to enter the customer's actual base price, switch back to Simplified Mode.

System result:

  • Full Mode shows the complete pricing calculation fields.
  • When a discount or net amount is changed, the calculated values in the same row are updated on the page.
  • For charge items with surcharges, you can maintain the base fee and surcharge information together.

2.8.7 Save the full business quotation

  1. Confirm that Basic Configuration has been saved.
  2. Confirm that the business tabs, charge items, prices, and remarks are complete.
  3. Scroll to the bottom of Charge Item Configuration.
  4. Click Save.
  5. When GWMS opens the confirmation prompt, review the business scope and click Confirm.

System result:

  • Save the Above Information only saves the basic configuration.
  • The bottom Save button under Charge Item Configuration submits the business scope, charge items, and prices.
  • If no charge item is selected, GWMS prompts you to select at least one charge item.
  • If you add a quotation from an existing business and no historical quotation exists, the page shows that the latest service guide has been loaded.

admin-editor-save-en

Legend: 1. Save the current quotation; 2. Adjust prices and create a new quotation.

2.8.8 Adjust Price & Create New Quotation

Applicable scenario: an effective quotation needs price changes, a smaller applicable-warehouse scope, or a new quotation name. A direct Save is restricted by the system. Adjust Price & Create New Quotation creates a new quotation form with a new effective date, while the original quotation and the charges it already produced stay untouched.

Steps:

  1. Open the target activated quotation on the quotation edit page and adjust prices, business selection, or the applicable warehouse scope as needed.

  2. Click Adjust Price & Create New Quotation next to Save (the button is shown only when editing an effective quotation).

  3. In the Adjust Price & Create New Quotation confirmation dialog:

    • New Effective Date (required): cannot be earlier than today and must be later than the original quotation's effective date. Dates before the lower bound are disabled in the calendar, and the page shows the original quotation's effective date and notes that the original quotation stays unchanged.
    • Quotation Name: optional. Leave blank to keep the original quotation name.
  4. Review the three sections of Impact Scope (loaded automatically when the dialog opens; changing the new effective date does not reload it):

    • Reuse Existing Business Instances: retained warehouses × previously priced businesses. The new quotation reuses these existing business instances, and billing switches to the new prices from the new effective date.
    • New Business Instances: newly added warehouses × all priced businesses, newly added priced businesses × all warehouses (including existing ones), and cases where the original quotation covers a business but the business instance is missing and needs to be created. After confirmation, GWMS creates these instances and links them to the new quotation for first-time billing.
    • Not Affected This Time: businesses whose warehouses were removed this time or that are not included in this quotation. The corresponding business instances stay linked to the original quotation and keep the old prices. This section is visually highlighted to remind you that these instances will not switch with this adjustment.
  5. After reviewing the list, click Confirm & Create New Quotation.

System result:

  • On success, GWMS shows New quotation "{name}" created, effective from {date} and returns to Business & Quotations-Quotation, where both the old and new quotations are visible.
  • The new quotation form is created directly with activated status. Once the new effective date is reached, billing switches to the new quotation automatically; before that date, the original quotation is still billed.
  • The original quotation's effective date, prices, business instance links, and charges already produced all stay unchanged.

2.8.9 Return to Business & Quotations

  1. Save the changes you want to keep, then click Back.
  2. Confirm Unsaved changes will be lost if you go back. Continue? to return to the source tab. Cancel to stay in the editor.
  3. Successful price adjustment automatically returns to the Quotation tab.

3. Additional Notes

3.1 Quotation status and service status

Quotation statusMeaning
Draft QuotationsNot yet activated; handled on the separate draft tab
PendingActivated, but the date has not arrived; historical quotations without a date also appear here
ActiveAt least one associated service currently uses this quotation for billing
ExpiredThe date has passed, but no associated service currently uses this quotation for billing
Approved / Declined / ArchivedConfirmation or retention states; check the service's quotation before identifying current prices

For example, an old quotation covers services in two warehouses and a new quotation replaces only one. The old quotation may remain Active. It becomes Expired when no service uses it. Check Business Status separately to see whether a service is disabled.

3.2 Summary rows and actions

A customer may have several active quotations. A summary displays the quotation name when only one is active, otherwise the count. Expand the customer to inspect individual records. On the quotation tab, summary-row quotation actions appear only when there is a single active quotation.

Draft actions appear directly as icons. Formal quotation and business actions may be collapsed under More. Check More, permissions and record status if an action is missing.

3.3 Previous menu entries

The former quotation editor, quotation list and business list entries are consolidated under Business & Quotations. Open the editor through Add, Edit, Adjust Quotation or Add New Quotation. Quotation notifications open the quotation tab of the new page.

3.4 How to choose the customer type

  • Not Sure Yet: Use this early in quotation preparation when the customer account has not been confirmed.
  • Add New Customer: Use this when the customer does not exist in GWMS and needs an account when the quotation becomes effective.
  • Existing Customer: Use this when the customer profile already exists and the quotation should be linked to that customer.

3.5 Difference between Simplified Mode and Full Mode

  • Simplified Mode: Shows range, base price, unit, and remark. Use it for quick customer-facing price entry.
  • Full Mode: Shows public price, discount, net amount, surcharge, and actual charge. Use it when you need to calculate prices from public prices or review surcharge details.
  • Both modes maintain the same quotation data. Switching modes does not create another quotation.

3.6 Adjustment limits for effective quotations

  • Quotations that are not effective can continue to be edited.
  • If an effective quotation already has business transactions, GWMS shows the affected scope.
  • For an effective quotation with business transactions, Save only supports adding applicable warehouses. Customer account fields cannot be changed. To change prices, narrow the warehouse scope, or change the quotation name, use Adjust Price & Create New Quotation to create a new quotation form while the original quotation stays untouched.
  • For an effective quotation with business transactions, removing applicable warehouses is allowed in the form, but a direct Save is rejected with a prompt to use Adjust Price & Create New Quotation. Narrow the warehouse scope by creating a new quotation through the price adjustment.
  • An effective quotation can still supplement missed charge items through the Supplement Source, but charge item changes are restricted and saving after supplementing may be rejected. Follow the reason shown on the page when saving is rejected.
  • Maintain customer account details from customer management when account information needs to be changed.

3.7 Suggested source usage

  • New customer or brand-new quotation: use Latest service guide.
  • Reusable standard price set: use Predefined Quotation.
  • New quotation for an existing business: use a historical quotation first. If no historical quotation exists, GWMS returns to the latest service guide.
  • The base determines the initial scope of charge items: a quotation only saves the charge items that were selected, and items missed earlier need to be brought back later through the Supplement Source.

3.8 Rules of the Supplement Source

  • A quotation form only saves the charge items that were selected. Items not selected originally do not appear in that quotation or in a new quotation based on it; the Supplement Source is the entry to bring them back.
  • Supplementing compares the base and the selected source item by item by business type + charge item and adds the items present in the source but missing from the base. Both partial tiers of the same charge item and whole missed items can be restored.
  • Supplementing does not change existing charge items: selection states and edited prices are kept as they are.
  • Switching the supplement source is an incremental operation: items supplemented last time but not yet selected are removed first, then GWMS supplements again from the new source. Selected items count as part of this quotation and are kept.
  • Switching the base tree source regenerates the whole charge item tree and clears the supplement state; GWMS asks for confirmation at that point.

4. FAQ

Q1: Why is a tab or action missing?

A1: Tabs and actions depend on permissions. Ask an administrator to check quotation/business viewing and the required action permissions. Deletion and activation are available only on draft rows.

Q2: Why is an activated quotation Pending?

A2: Activation creates the formal record. Check the effective date: future dates remain Pending. If an old record lacks a date, have it checked before using its prices for settlement.

Q3: Why does searching Business by an old quotation name find nothing?

A3: That filter matches active quotations only. Clear the quotation name or search for the old name on Quotation, then inspect Related Businesses.

Q4: Does disabling a service stop storage charges?

A4: No. It controls new service selection; existing documents, stock and billing remain. Review stock and charging arrangements against the actual agreement.

Q5: Why are there two save buttons?

A5: Save the Above Information saves only the business name, customer information, warehouse, and effective date. The bottom Save under Charge Item Configuration saves business types, charge items, and prices.

Q6: When should I use Not Sure Yet?

A6: Use it when the customer account has not been confirmed. Before the quotation becomes effective, confirm whether the customer should be created as a new customer or linked to an existing customer.

Q7: Why do more columns appear after switching to Full Mode?

A7: Full Mode is used to review public prices, discounts, net amounts, surcharges, and actual charges. If you only need to maintain customer base prices, use Simplified Mode.

Q8: Why does the page load the latest service guide when I add a quotation from the Business page?

A8: It means the current business has no historical quotation that can be used as the base. GWMS loads the latest service guide, and you can still adjust charge items and prices according to the customer's agreement.

Q9: What should I do if GWMS prompts me to select at least one charge item?

A9: Go back to Charge Item Configuration, select at least one charge item under a business tab, and click Save again.

Q10: A charge item is missing from the table. How do I add it back?

A10: Check the base source first. When the base is the Latest service guide, the charge items are the full set, so a missing item means the service guide does not have it. When the base is a historical quotation or a predefined quotation form, open the Based on xxx panel, choose Predefined Quotation or Service Guide under Supplement Source, and select the supplemented charge items after they are added to the table.

Q11: How do I change the price of an effective quotation that already has business transactions?

A11: Adjust the prices on the quotation edit page, then click Adjust Price & Create New Quotation next to Save and choose the new effective date to create a new quotation form. The original quotation stays untouched: billing keeps the old prices until the new effective date and switches to the new prices automatically once it is reached.

Q12: Why can't I see the Adjust Price & Create New Quotation button when editing a draft quotation?

A12: The button is shown only when editing an activated quotation. A draft quotation has no historical prices to protect; change it directly and click Save.

Q13: What happens to the business instances in Not Affected This Time?

A13: These instances stay linked to the original quotation and keep the old prices, unaffected by this adjustment. For example, warehouses removed this time, or businesses not included in this quotation, all appear in this section. After you confirm the new quotation, they do not switch to it.
