Manage Customer Accounts in GWMS

1. Scenario
Account List is used to centrally view customer account balances, alert amounts, and account statuses. Warehouse or administrator users can submit top-up requests for customers, view historical recharge records, modify account alert amounts, and batch adjust alert amounts by selected accounts or currency.
Applicable scenarios:
- Check a customer account before submitting a top-up request.
- Submit a top-up request for a customer.
- Review historical top-up records.
- Adjust account alert amount for one or multiple accounts.
Not applicable:
- Customer-side account query.
- Recharge audit.
- Directly modifying historical account transaction records.
2. Operation Guide
Prerequisites
Please confirm the following before you start:
- Your account can open
GWMS-Customer Management-Account List. - You have confirmed the target customer, currency, top-up amount, and payment method.
- If you need to batch adjust alert amounts, confirm the selected account scope first. If no account is selected, GWMS adjusts by currency scope.
- If you need to upload a top-up voucher, use
png,jpg, orjpeg. Each file must be no larger than 2 MB.
2.1 Open Account List and Search Accounts
Menu path: GWMS-Customer Management-Account List
- Sign in to GWMS.
- Expand
Customer Management. - Click
Account List.
The page supports filters such as Customer Name, Currency, and Account Status.
The current list displays fields including:

2.2 Submit a Customer Top-Up Request
Click Recharge above the list to open the Account Recharge dialog.
Fill in the top-up information.
Required fields:

Optional fields:
Payment AccountTransaction No.RemarkTop-up Voucher
Current payment methods include Alipay, WeChat Pay, and Bank Transfer. After submission, the request enters GWMS-Customer Management-Recharge Audit. The amount is posted only after it is approved.
After successful submission, GWMS prompts Recharge submitted, waiting for review, closes the dialog, and refreshes the account list.
If the target customer does not yet have an account for the selected currency, GWMS creates that currency account when the top-up request is submitted. The amount still needs to pass Recharge Audit before it is posted.
2.3 View Recharge Records
In the account row, click Recharge Records.
The dialog displays fields including:

If Review Status is Approved, the top-up has passed review and has been posted.
2.4 Batch Adjust Account Alert Amount
To adjust multiple customer accounts, click Batch Adjust Account.
The current menu provides Batch Adjust Alert Amount.
If accounts are selected, the dialog only requires Alert Amount. The page shows the selected account count, for example, 3 accounts selected. Alert amount will be adjusted together.
If no account is selected, the dialog requires Currency and Alert Amount. Currency can be All Currencies or one specified currency. The page indicates that no account is selected and GWMS will adjust all accounts under the selected currency scope.
After you click Confirm, GWMS prompts Adjusted successfully, closes the dialog, and refreshes the list.
There is no separate rollback button. If the value is wrong, use Batch Adjust Alert Amount again or use the single-account Edit action to correct it.
2.5 Modify One Account
In the operation column of one customer account, common actions include:
Recharge: submit a top-up request for this account.Edit: modify account information.
In the Edit Customer Account dialog, Customer Name and Account Number are read-only. The current editable field is Alert Amount. After saving, GWMS prompts Modified successfully, closes the dialog, and refreshes the list. If saving fails, GWMS prompts Modification failed.
3. Additional Notes
3.1 Account Balance Fields
Account Balance: the amount already posted.Alert Amount: the balance alert reference amount used to remind users when balance may be insufficient.Account Status: for example,Normal. If the status is abnormal, confirm whether the account has been disabled or frozen.
For reconciliation, do not only look at the current balance in Account List. Also review Account Transactions to understand how the balance changed.
3.2 Relationship Between Recharge and Recharge Audit
Account List is used to submit top-up requests and view recharge records. The actual review action is completed in GWMS-Customer Management-Recharge Audit.
Common sequence:
- Submit a top-up request in Account List.
- Review payment information in Recharge Audit.
- After approval, return to Account List or Account Transactions to confirm whether the amount has been posted.
3.3 When to Batch Adjust Alert Amount
Batch Adjust Alert Amount is suitable when the warehouse needs to uniformly adjust the account balance reminder threshold for multiple customers or currencies.
Before batch processing, export or record the original alert amounts so the changes can be checked later.
4. FAQ
Q1: Why does the account balance not change immediately after a top-up request is submitted?
A1: The request must pass GWMS-Customer Management-Recharge Audit. The amount is posted only after approval.
Q2: Must I select accounts before batch adjusting alert amounts?
A2: Not necessarily. If accounts are selected, GWMS adjusts only the selected accounts. If no account is selected, choose a currency in the dialog, and GWMS adjusts accounts under that currency scope. Confirm the scope carefully before submitting.
Q3: Where can I view previous top-up records for a customer?
A3: Open GWMS-Customer Management-Account List, then click Recharge Records in the target account row. The dialog shows recharge number, review status, review time, and received amount.
Q4: What should I do if account information was entered incorrectly?
A4: If the issue is a top-up request, check it before review and ask the reviewer to handle it accordingly. If the alert amount is incorrect, use Edit or Batch Adjust Alert Amount to correct it.
