Receive Inbound Goods in GWMS

1. Scenario

Receiving is used after goods arrive at the warehouse. The warehouse records the actual received quantity, boxes, dimensions, and weight, then moves the inbound order to 【Partially Received】 or 【Fully Received】.

This guide is for warehouse operators handling approved inbound orders. The page supports receiving by SKU and receiving by box.

2. Steps

Prerequisites

  • Your account can access GWMS-Inbound Management-Inbound Forecast.
  • Your account has receiving permission.
  • The target inbound order is in 【Pending Inbound】 or 【Partially Received】 status.
  • Goods have been counted on site.
  • The customer has an active account for the warehouse. If not, GWMS may prompt that the customer account is not open and receiving cannot continue.
  • If the site uses a scanner or box label number to locate the order, open GWMS-Inbound Management-Scan Receiving first, then continue to the receiving page.

2.1 Open the order to be received

Go to GWMS-Inbound Management-Inbound Forecast, find an order in 【Pending Inbound】 or 【Partially Received】 status, and click 【Receiving】.

GWMS opens the receiving page and displays the inbound order number, customer, warehouse, and status.

If the site uses a scanner, you can also go directly to GWMS-Inbound Management-Scan Receiving and scan or enter the inbound order number or box label number. After GWMS finds the order, check customer, warehouse, arrival method, expected arrival time, and receiving progress, then click 【Start Receiving】 to open the same receiving page.

If GWMS cannot find the inbound order or box label number, check whether the label was generated by GWMS, whether the inbound order number is complete, and whether your account can access the customer or warehouse. If the status does not allow receiving, return to the inbound forecast list and check whether the order has been reviewed or closed.

2.2 Select the receiving mode

The receiving page provides 【Receive by SKU】 and 【Receive by Box】. This guide uses 【Receive by SKU】 as the example.

If the order already has a receiving mode, GWMS disables the mode switch and continues with the existing mode.

2.3 Enter the actual received quantity

In 【Receive by SKU】 mode, enter the actual received quantity on the target SKU row.

Enter the quantity counted on site. If this SKU is confirmed as not received in this submission, enter 0. Negative quantities are not accepted.

Select the SKU rows to submit. The summary for received product types, received product quantity, and remaining quantity updates as you select rows.

If receiving by box, the page is grouped by box number and includes exception quantity, exception reason, dimensions, and weight. When the actual received quantity differs from the forecast, check the exception quantity, type, and remarks before submitting.

2.4 Submit receiving

After checking quantities, click 【Confirm Receiving】.

If product dimensions or weight need warehouse maintenance, GWMS opens the 【Save Receiving】 dialog and starts with the product maintenance step.

2.5 Complete or skip product maintenance

In the product maintenance step, select the products that need maintenance and enter actual length, width, height, and weight. You can switch between metric and imperial units.

If the SKU has already been maintained or does not need changes, click 【Skip】.

GWMS asks you to confirm skipping product maintenance. Confirm only when the existing product information can be used.

2.6 Fill in receiving information and save

In the receiving information step, enter the required receiving parameters according to the arrival method, such as container quantity, pallet quantity, carton quantity, or unloading quantity.

Check the box count, received SKU quantity, and SKU type count. If the adjusted data differs from the original receiving data, GWMS asks for confirmation before saving.

After saving succeeds, GWMS shows 【Receiving saved successfully】 and refreshes the page.

3. Notes

3.1 Receiving modes

  • 【Receive by SKU】: Shows SKU-level received quantity and remaining quantity. Only rows with remaining quantity can be selected.
  • 【Receive by Box】: Shows box-level quantities, exception information, dimensions, and weight. Use this mode when goods are checked box by box.

3.2 Status changes after receiving

If some quantity remains unreceived, the order becomes 【Partially Received】. If all quantity has been received, the order becomes 【Fully Received】.

3.3 Full-order receiving

The list may provide full-order receiving when the order is in 【Pending Inbound】 or 【Partially Received】 status and the receiving mode is not SKU mode. Full-order receiving automatically selects boxes that have not yet been received.

3.4 Check receiving results and exceptions

After receiving is saved, use these places to check the result:

  • GWMS-Inbound Management-Inbound Forecast: the list shows received quantity, forecast quantity, and exception quantity for a quick check.
  • Inbound order details -> 【Receiving / Putaway Status】: search by SKU, name, or GSKU to check received, pending receiving, pending putaway, and exception quantities.
  • GWMS-Inbound Management-Receiving Records: check each receiving transaction. If there was an exception, the record shows exception quantity, reason, and remarks.

4. FAQ

Q1: Why can't I switch between receiving by SKU and receiving by box?

A1: The order already has a receiving mode. GWMS continues using the existing mode to avoid mixing different receiving methods on one inbound order.

Q2: Why does GWMS open product maintenance after I click 【Confirm Receiving】?

A2: GWMS detected products that need actual dimensions or weight. Complete product maintenance first, then continue to the receiving information step.

Q3: What happens if I skip product maintenance?

A3: GWMS continues receiving with the existing product information. This may affect billing or later warehouse handling if the existing dimensions or weight are inaccurate.

Q4: Why does GWMS say repeated receiving is not allowed?

A4: In box mode, GWMS checks whether a box has already been received. If it has, check whether another user has already submitted receiving for the same box.

Q5: What should I do if the customer account is not open?

A5: Ask the administrator to open or initialize the customer account for the warehouse before continuing receiving.

Q6: Can I save receiving when the actual quantity differs from the forecast?

A6: Yes. Save the actual counted quantity first. After saving, review the exception quantity and reason in the inbound order details or receiving records, then follow the warehouse rule to confirm the difference with the customer.
