Use GWMS to Maintain Predefined Quotations

1. Scenario

Definition: Predefined Quotation is the page where the warehouse team maintains reusable quotation templates. The page loads a charge tree by business type, and the warehouse can keep required charge items, adjust discounts and net prices, or update node descriptions.

Purpose: Before the warehouse prepares a formal quotation for a customer, it can organize common charge rules into a reusable template so later quotation work does not require repeated item selection or manual price entry.

Applicable scenarios:

  • Create a standard quotation template for future customer quotations.
  • Copy an existing predefined quotation template and continue adjusting charge items and prices.
  • Maintain default charge trees for business types such as drop shipping, stock transit, container unloading and transfer, labeling and relabeling, or return processing.

2. Operation Guide

Prerequisites

Please confirm the following before you start:

  1. Your account can open GWMS-Quotation and Business-Predefined Quotation.
  2. You have confirmed which base tree source will be used for this template: Latest service guide or Predefined Quotation.
  3. If you need to change discounts, net prices, or node prices, confirm the quotation standard with the business or finance owner first.

2.1 Open the Predefined Quotation page

  1. Sign in to GWMS.
  2. In the left navigation, expand Quotation and Business.
  3. Click Predefined Quotation.
  4. After the page opens, the top area shows the page title, the base tree source summary, the quotation name field, and the full description field.

System result:

  • Business tabs and the charge tree are shown below the header area.
  • Under the current business tab, you can maintain discounts, net prices, and selected charge items directly.

2.2 Select the base tree source

Menu path: GWMS-Quotation and Business-Predefined Quotation

  1. Review the Based on xxx source summary below the page title.
  2. Click the source summary to open the Base Tree Source panel.
  3. Select the source that matches your scenario:
    • Choose Latest service guide to load the current industry service guide as the base tree.
    • Choose Predefined Quotation to switch to template copy mode, then continue by selecting a specific template.

System result:

  • After switching to Latest service guide, the charge tree reloads from the latest service guide.
  • When you switch the source, the page recalculates the charge tree. Do not rely on unsaved page changes being kept automatically.

2.3 Copy from an existing predefined quotation template

  1. In the Base Tree Source panel, click Predefined Quotation.
  2. In the Predefined Quotation dropdown, select the template you want to copy.
  3. After the template is selected, close the panel and continue maintaining the page.

System result:

  • If you switch to Predefined Quotation but do not select a specific template yet, the charge tree is not displayed. Only the header and save area remain on the page.
  • After a template is selected, the Based on xxx summary shows the selected template name, and the page reloads the business selections and charge tree from that template.

2.4 Fill in the quotation header

  1. Enter Quotation Name at the top of the page.
  2. Enter Full Description if needed.

System result:

  • Quotation Name is required.
  • Filling in the header does not clear the charge tree or current selections from the chosen source.

2.5 Select business tabs and charge items

  1. Switch between business tabs at the top of the page, such as Drop Shipping, Stock Transit, Container Unloading and Transfer, Labeling and Relabeling, and Return Processing.
  2. If you need to enable or clear one business as a whole, use the checkbox before the tab title:
    • When selected, all charge items under the current business are selected together.
    • When cleared, all charge items under the current business are removed together.
  3. After entering one business tab, continue selecting or clearing the specific charge items under that business.
  4. If only part of the charge items under one business remains selected, the tab checkbox shows a partial-selected state instead of fully selected or fully cleared.

System result:

  • After you switch to another business tab, the page shows the current business description and charge tree.
  • After a business tab or charge item is selected, that business enters the save scope for this submission.
  • The tab checkbox supports three states: select all, clear all, and partial selected. This helps you quickly judge whether the current business keeps only some charge items.

2.6 Adjust discounts and net prices

  1. Find the row that needs adjustment in the charge tree.
  2. Enter the discount value directly in the Discount column.
  3. After the value is entered, check whether the Net and Actual Charge columns in the same row change as expected.

System result:

  • The current page supports entering discount values directly in the list.
  • After a discount is entered, the page updates the displayed result immediately so you can continue checking other rows.

2.7 Update node descriptions or base prices

  1. Click a blue charge item name in the charge tree, such as Unloading Fee.
  2. The system opens the Edit Node dialog.
  3. In the dialog, update Category Name, Price, Additional Fee, or Description as needed.
  4. Click Save inside the dialog.

System result:

  • After the dialog is saved, the page updates the displayed result for the current node.
  • This step only saves the node change on the current page. It does not submit the full predefined quotation to the system yet.

2.8 Save the full predefined quotation

  1. After the header, business selections, and price adjustments are complete, scroll to the bottom of the page.
  2. Click Save at the bottom.
  3. The system opens a confirmation dialog and shows The following business will be saved currently.
  4. Review the business scope to be saved, then click Confirm.

System result:

  • The confirmation dialog lists the businesses included in this save, such as Drop Shipping and Return Processing.
  • Only businesses with selected charge items are included in the current save scope.

3. Additional Notes

3.1 Base tree source notes

  • Latest service guide: Best when you want to rebuild a template from the current industry service guide.
  • Predefined Quotation: Best when you want to copy an existing template and then adjust the business scope, discount values, or node descriptions.
  • After Predefined Quotation is selected, you must choose one specific template; otherwise the charge tree is not loaded.

3.2 What can be maintained on this page

  • Business tab selection: Controls whether one business is included in this template.
  • Business tab select all / clear all: Click the checkbox before the tab title to select or clear all charge items under the current business.
  • Business tab partial-selected state: When only some charge items are kept, the tab checkbox shows a partial-selected mark.
  • Charge item selection: Controls which charge items remain under the current business.
  • Discount: Can be entered directly in the list.
  • Net / Actual Charge: Displayed according to the current values on the page.
  • Edit Node dialog: Suitable for updating the category name, base price, additional fee, and description text.

3.3 Save rules

  • Save inside the dialog only updates the node result on the current page.
  • Save at the bottom of the page is the action that formally saves the full predefined quotation.
  • The confirmation dialog lists the businesses that actually enter the save scope. Review the scope before submission.

4. FAQ

Q1: Why is the page empty after I switch to Predefined Quotation?

A1: In Predefined Quotation mode, the page loads the charge tree only after one specific template is selected. If you switch the source but do not choose a template, the charge tree remains hidden.

Q2: Why did the page change after I edited a discount, but the result was not kept after reopening?

A2: A page change is formally saved only after you click Save at the bottom and then click Confirm in the confirmation dialog. Editing the list or saving only the dialog does not mean the full template has been submitted.

Q3: When should I enter a discount in the list, and when should I use Edit Node?

A3: If you only need to update the discount, enter it directly in the Discount column. If you need to change the charge item name, base price, additional fee, or description, click the blue charge item name and use the Edit Node dialog.

Q4: Why does the system show The following business will be saved currently before saving?

A4: The current page supports saving multiple business tabs in one submission. The system lists the current business scope first so you do not save unwanted businesses by mistake.

Q5: How can I quickly select all or clear all charge items under one business?

A5: Click the checkbox before the business tab title. When it is selected, the current business is selected as a whole. When it is cleared, the current business is cleared as a whole. If only some charge items are kept, the checkbox shows a partial-selected state.
